Job Title: Clinical Office Manager

Salary: negotiable

Hours Per Week: 40; M-F 8:00 AM -4:30 PM, very occasional evenings and or weekends

Job Probationary Period: 90 days with monthly reviews


Job Overview: The Clinical Office Manager will be responsible for the day to day operations of Tulaya Wellness, who offers a wide range of psychiatric services in partnership with Red Oak Counseling, who provides psychotherapy services. The clinical office manager will support company operations by maintaining office systems, organizing office operations and procedures, controlling correspondence, organizing computer filing systems, reviewing and approving supply requisitions for medical and non-medical equipment, assigning and monitoring clerical staff functions, attracting and onboarding staff, coordinating professional referral relationships, and expanding marketing strategies tailored to the growth and development of psychiatric services within Tulaya Wellness, which includes expansion of current services of traditional psychotropic medication management. These include but are not limited to: Spravato, IV ketamine infusions, and Trans Magnetic Therapy (TMS). Self-motivation, excellent time management, organizational skills and the ability to adapt quickly to changing priorities are key strengths. Tulaya serves a diverse population of patients with a variety of mental health diagnoses. We also have a focused interest in special populations including women's and reproductive healthcare, treatment resistant depression, PTSD, LGBTQ+ affirming care, hormonal replacement therapy & eating disorders.


Tulaya Wellness/Red Oak Counseling will provide the resources and collaborative leadership needed to help achieve success.


Job responsibilities include, but are not limited to:


  • Maintains office efficiency by planning and implementing office systems, layouts and equipment procurement
  • Human resources (HR) duties such as answering and/or facilitating staff's HR questions in collaboration with HR at Red Oak Counseling. Assist onboarding new staff with HR paperwork, credentialing, training, and verifying licensure and certifications.
  • Maintains office staff by recruiting, assisting in selecting, orienting and training new employees
  • Keeps management (Red Oak Counseling & Refresh Mental Health) informed by reviewing and analyzing special reports, summarizing information, identifying trends through regular meetings.
  • Ensuring office is HIPPA compliant, and applicable law and regulations are enforced
  • Improving quality and efficiency of daily operations
  • Develop and maintain a supportive relationship with staff that promotes teamwork, emphasizes quality, superior service, and promotes learning
  • Track office utilization data to identify and recommend hiring needs
  • Additional responsibilities will be communicated on an as needed basis


Skills Required:

  • Minimum Bachelor's degree in Business, healthcare administration, or other healthcare related fields. Preferred experience (3+ years) in healthcare related field OR current enrollment in Health Care Management Certificate program with emphasis on health policy and management, healthcare informatics, health care services and systems
  • Diligent attention to detail to ensure reimbursement to ensure reimbursement procedures are followed and health records are properly maintained
  • Excellent organizational and time management skills
  • Multi-task effectively as evidenced by performing the responsibilities and duties in a timely & professional manner
  • Knowledgeable with Microsoft 365 (One Drive) MS Teams, Zoom, SharePoint, 8x8 phone answering service
  • Experienced in medical terminology, data analytics, and familiarity with electronic health care records (EHR) - the candidate will be trained in the clinic's current EHR
  • Strong communication skills & ability to make strong interpersonal connections with colleagues
