Position Information

As the state's 4-H youth development program we create supportive learning environments for youth and adults to reach their full potential as capable, competent and caring citizens. 4-H is both a program and an organization with the Center for 4-H Youth Development providing state-level support to the 53 field offices of the NDSU Extension Service where the program is conducted.

Position Description & Details:

The Administrative Secretary provides administrative support to the NDSU Extension 4-H program, staff and related entities. This includes Center for 4-H Youth Development staff, 20% support to the 4-H Foundation, Extension staff working in the 53 county offices of Extension and adult volunteers supporting the 4-H program. Major duties of this position include managing databases, fund accounting, utilizing PeopleSoft and using other proprietary accounting software, event/meeting coordination, preparing correspondence, reports and other forms of communication related to 4-H. The fund accounting responsibilities includes grants and contracts held by the department and related entities.

Responsibilities:
  • Utilize relational databases to manage information related to the North Dakota 4-H Program and associated entities (ND 4-H Foundation)
  • Manage program and fund accounts related to the North Dakota 4-H Program and associated entities. This includes grants and contracts related to the department and program including employee travel, accounts payable vouchers and purchasing card. Hiring process support and work/time approval for student worker and temporary positions.
  • Provide administrative support to faculty and program staff in the Center for 4-H related to event management, educational materials coordination, data management, projects, scheduling and reports
  • Perform administrative support duties for day-to-day operations of the Center for 4-H Youth Development, program, staff and related entities.
  • Work collaboratively as a team member with other staff.

Work Schedule:

8:00 a.m. to 5:00 p.m. Monday-Friday

Advertised Salary:

$36,000 +

Minimum Qualifications:
  • Associates Degree or 3 years experience
  • Valid driver's license.
  • 2 years of related administrative support or accounting experience
  • Ability to work on a team to accomplish related results as needed.
  • Knowledge and expertise in financial account management and relational databases (PeopleSoft),
  • Strong PC skills required including Adobe, internet and all Microsoft Programs: Word, Excel, Outlook, etc.
  • Advanced reporting, collecting, analyzing, and summarizing data.
  • Extremely detailed oriented.
  • Organizational and customer service skills.
  • Ability to communicate clearly, professionally, and concisely both orally and in writing.
  • Ability to work independently with minimal supervision and in a team environment.
  • Ability to exercise discretion and sound judgment.
  • Outdoing, honest, and friendly demeanor with a good work ethic.
  • Preferred knowledge of grant requirements.
  • Ability to adapt to changing needs.
  • Highly effective interpersonal skills, problem solving skills, and have the ability to manage priorities and workflow, work well under pressure, and consistently meet deadlines.

Preferred Qualifications:
  • Associates degree in accounting, economics or related field.
  • 5 years of related administrative support experience and/or accounting experience.
  • Preferred knowledge of grant requirements.
  • Experience with PeopleSoft, Microsoft Programs (Word, Excel, Outlook, etc.).
  • Online, website and other web-based data management experience.
