Local 49 of the International Union of Operating Engineers is looking for an experienced and highly motivated Administrative Assistant for a position in its Fargo, North Dakota, office.

Duties and responsibilities include, but are not limited to, providing administrative support to ensure efficient operation of the office; receiving and placing telephone calls daily; providing general office, data-entry and operational support, such as purchasing, maintaining lists, filing correspondence, and typing contracts, proposals or reports, ensuring facility stays in good, clean working order, etc.; assisting officials and other staff with clerical work and administrative duties; and assisting other administrative staff with telephone duties.

Education & Experience: High school diploma required, two-year business degree/certificate preferred, two or more years of administrative support experience.

Key Duties & Requirements:
  • Maintain solid, business-like working relationships with vendors, contractors, members, retirees and others by handling all inquiries and concerns with speed and professionalism. Superior communication abilities and impeccable discretion are essential in dealing with pension and benefits questions.
  • Communicate effectively via phone and email to ensure all Administrative Assistant duties are completed accurately and efficiently.
  • Have above average oral and written communications with attention to detail. Professional and courteous telephone demeanor, ability to triage a high volume of calls.
  • Display excellent customer service skills in dealing with a high volume of calls and member walk-ins.
  • Manage a clean and enjoyable work environment.
  • Handle confidential material responsibly.
  • Be flexible in accepting assignments of various support tasks in a frequently changing work environment, managing multiple priorities while meeting multiple deadlines.
  • Possess above-average knowledge of Office 365 programs, including Outlook, Share Point and One Drive.
  • Demonstrate effective problem-solving skills.
  • Have excellent time management and organizational skills.
  • Display working knowledge of a variety of office machines, including multi-line phone systems and copiers.
  • Maintain detailed filing systems for multiple organizations and time periods.
  • Maintain member database and dispatch system.
