Our Senior Administrative Support Specialist (internally we call the role Parts Purchasing Agent) places you in a position to make a significant impact on our customers' satisfaction, as well the overall success of our Service Organization's operational success as you support both internal and external clients, while learning the complexities and nuances of the machine tool industry. All this, while working in one of the highest performing teams, with consistently very high engagement scores and virtually no turnover.

You will accomplish this by using your organizational and outstanding attention to detail skills to place parts orders to myriad vendors. What's more, you will keep up-to-date on parts being shipped and their arrival, with the aim of keeping both the internal and external client groups informed. Additionally, you will the potential to be cross-trained on other roles within the department; our goal is to place a person in a position to truly grow and learn the varied parts of the business.

A primary requirement for this position is strong computer skills and being a resourceful person. An ideal candidate will have a general can-do attitude, possess strong knowledge of Excel and the ability to figure out whatever he/she doesn't already know.

In sum, you will need to be able to juggle many competing priorities while maintaining that positive, outgoing attitude that makes you, you! For the right person, this will be energizing and exciting and not stressful and cumbersome.

Responsibilities

Although not all inclusive, the following is a list of activities that one could expect to engage in:

  • Strive for OTD (On-Time-Delivery) as a primary factor in achieving Customer Satisfaction.
  • Utilizing the Ellison Technologies operating system, BAAN, IFS and Epicor to place parts orders with vendors within SAP.
  • Critical Follow-up of vendors for receipt of part order acknowledgement.
  • Track and manage expedited orders.


Qualifications

When we look at what we might expect the right candidate to possess in terms of experience and skills, the following is good representation:

  • Proficient with Microsoft Office (Especially Excel, Outlook, Word and PowerPoint)
  • CRM/ERP experience a plus (Salesforce)
  • Epicor and or BAAN experience is also a plus
  • Ability to read and locate parts using OEM manuals (we can train on this)
  • Excellent communication and organization skills
  • Ability to multi-task by evaluating and prioritizing various projects to ensure timely and accurate completion while working with minimal supervision
  • Office hours are typically from 8am - 5pm, but the ability to arrive early or stay late on occasion required
