About the Job

Academic Health Scieneces Operations Manager is a newly established position that combines several critical leadership responsibilities. An essential member of the Interim Associate Vice President s leadership team, the Operations Manager will lead AHS s daily administrative operations, providing support and counsel to the Interim Associate Vice President and leading the Health Science Classroom Services (HSCS) team. The AHS Operations Manager serves an important role in advancing the mission, vision and values that guide the work of AHS through building strong partnerships with the Office of Academic Clinical Affairs, colleges, academic departments, administrative units and governance bodies.

To fulfill these responsibilities successfully, the AHS Operations Manager must possess strong administrative and operations expertise, be adept at problem solving, showcasing diplomacy, and engaging in complex conversations where negotiation and influencing skills are utilized. In addition, the successful candidate must be highly knowledgeable of strategic space planning and classroom management practices along with an appreciation for and a commitment to diversity, equity and inclusion work. The position requires a high degree of independent judgment, strong organizational skills and both attention to detail and the ability to think strategically.

This position frequently represents AHS in the University community in sensitive and rapidly changing contexts. To do so effectively, the Operations Manager must be a clear and direct communicator who can address challenges in a collaborative manner, consistently recognizing diverse and sometimes opposing viewpoints. The successful candidate will demonstrate high levels of emotional and cultural intelligence, an understanding and appreciation of shared governance processes and other forms of shared authority, and an ability to informally influence and lead others.

Health Sciences Classroom Services (HSCS) Leadership and Management (50%)
The Operations Manager provides broad support to the HSCS team, and other University partners in overseeing the effective use of over 80 classrooms including the Health Sciences Education Center (HSEC) for AHS.
Serve as HSCS point of contact and information for the team and as an escalation point for internal and external partners and stakeholders including the health science schools.
Provide support, advice, and guidance to the Associate Vice President, the team and others regarding strategic space planning and initiatives related to the use of AHS and other University classroom and event space.
Develop and implement a technology upgrade plan and any further projects associated with HSCS.
Communicate with the team and key stakeholders about space initiatives, processes and procedures.
Review, plan, prioritize and draft strategic space planning policies and procedures to make the most effective use of the health science classrooms including the HSEC building.
Provide organizational leadership and advice and counsel to HSCS team throughout the employee life cycle.
Represent AHS as assigned on University and/or community committees, task forces, advisory councils or planning commissions.

AHS Operations Management (50%)
Provide leadership and management for three professional staff within the communications, engagement and external relations areas.
Assist AVP in compact/budget preparation and presentation..
Provide input to AVP on special requests such as contingency planning, budget information and special projects.
Engage with the AVP and unit leaders on special projects and initiatives that support the overall priorities and work plan for AHS.
Assist AHS unit staff on contracting, purchasing or facilities issues in coordination with appropriate Central University resources.
Manage all hiring request and search processes for AHS units.
Participate in AVP quarterly reviews
Other administrative and operations projects, committee participation and University service responsibilities may be involved as requested and/or needed.

This is a 12-month, full-time Administrative Manager 1 (9341M1) position, part of the University s Professional and Administrative (P&A) employee group. Starting salary commensurate with experience and background.

Qualifications

Essential Qualifications:
Bachelor s degree and at least six (6) years of progressively responsible experience related to providing administrative leadership, operations management and/or programmatic oversight.
Supervisory experience; demonstrated leadership ability with an emphasis on partnering with others to accomplish goals.
Demonstrated commitment to advancing equity, diversity, and inclusion and demonstrated ability to operate strategically in this area; experience fostering an equitable, diverse, and inclusive workplace.
Track record of success in project and budget management.
Excellent written and oral communication skills, including the ability to communicate effectively and tactfully with all constituencies across the University and all levels of University administration.
Exceptional planning, analytical, and organizational skills.
Active, collaborative approach to working through conflict.

Preferred Qualifications:
Advanced degree in a related field e.g. business, human resources
Demonstrated success supervising a team of professionals in a complex, multi-layered and collaborative environment.
Exceptional interpersonal skills and ability to communicate effectively orally and in writing across all levels of the organization.
Ability to work effectively with ambiguity, use sound judgment, and exercise independent judgment and discretion.
Experience developing, implementing and evaluating strategic initiatives and priorities
Experience working in higher education, health care, and/or public sector employment settings.
Skills or training in change management and conflict resolution.

The Office of the Associate Vice President for Academic Health Sciences (AHS) leads the transformation and integration of innovative interprofessional education among the health sciences schools, colleges and programs to ensure that every learner acquires the competencies for interprofessional collaborative practice. AHS also expands interprofessional education beyond the health science schools/colleges/programs for opportunities to prepare students for collaborations that will address health care needs of individuals, communities and populations and reshape health care delivery. AHS reports directly to the Office of the Executive Vice President and Provost and works in close collaboration with the Office of Academic Clinical Affairs.
