Position Overview:

The Construction Project Coordinator is a 12-18 month position that would support the Capital Projects Manager with day-to-day support of key capital projects including our maintenance facility, Early Learning Center, Upper Elementary conversion and closure of our Highcroft campus.

An ideal candidate would have a minimum of 1-3 years project coordination/management experience and is looking to build their resume with a variety of project management experience. Strengths would include strong organizational skills, attention to detail, effective verbal and written communication, the ability to work independently and prioritize effectively with limited direction.

A detail oriented, driven, self-starter who is flexible to handle multiple tasks simultaneously and who is energized by a variety of daily/weekly tasks coupled with specialty project work would enjoy this role.

Essential Functions and Responsibilities:

Responsibilities include, but are not limited to:

Responsible for coordination of internal project meetings for each project phase, including scheduling, agenda support, note taking and tracking of follow-up items

Work with Capital Projects Manager to coordinate project logistics details including but not limited to:

FF&E selection, ordering and installation (to include punch list process)

Support the progress of signage design, selection, proofs, ordering and installation (to include punch list process)

Coordinate details related to purging, packing and moving logistics for three facilities

Organization of Assets/Inventory Data Tracking information and processes

Work with Capital Projects Manager on project communication, updates, google form creation and tracking

Support Soft Cost tracking and anticipated soft cost expenses

Track/manage project items that are owner responsibilities (PPRRSM/Operations projects completed in conjunction with project work)

Work closely with project interns and admins to ensure follow-up on specific project details items

Organization/filing of project meeting notes and information

Track owner visibility of punch-list items and support follow-up and completion process

Developing a system of post-project tracking of warranty items; enter into maintenance request and preventative maintenance systems

Ensure all project related details are uploaded into Preventative Maintenance & Controls Systems

Receive and deliver equipment, supplies and packages as required

Required:

Proficient in Google Suite and/or Microsoft Office Suite

Ability to be flexible and a team player

Strong communications skills with internal and external partners

Must be able to adapt to all working conditions and meet all physical requirements listed below

Preferred:

Previous project coordination experience, could include college-based project coordination

Previous operations and/or construction project coordination experience

Working Conditions:

May be subject to being on-call; carry a cell phone or two-way device

May work with hazardous materials; must follow all OSHA & Safe Schools guidelines

Schedule may change based on the needs of the school and projects

Work longer hours than scheduled to complete/perform scheduled or emergency functions and events, as necessary

Required to work under adverse weather conditions and varying temperatures, assisting with exterior maintenance year round

Physical Requirements:

Must be able to work safely and follow all OSHA required, Blake and vendor safety guidelines

Involves a great deal of walking

Must possess normal vision, hearing and physical dexterity

Will be required to do own laboring, lift up to 40 pounds safely, and be able to transport equipment, including carts which may carry 400 pounds

Team Participation:

Participate as a contributing member of the Buildings & Grounds Team, attending team meetings, trainings and community events

As appropriate, give input for ways to improve procedures and policies currently in use to ensure business is conducted in a safe, responsible manner

Willing to assist in other areas and with other tasks not defined in position description
