Job purpose

This position is responsible for answering and forwarding all incoming phone calls to the appropriate parties and greeting office guests. Aids with accounts payable and/or accounts receivable and administrative support to the CEO, CFO, Operating Committee, and other Rice Companies personnel as appropriate.

Duties and responsibilities

Key Accountabilities:

Answering a multi-line telephone system, providing information, taking accurate messages and directing callers to appropriate individuals, while keeping a professional demeanor at all times.
Assisting, directing and interacting with internal and external customers and visitors in a prompt, professional and appropriate manner.
Monitoring and coordinating office housekeeping, maintenance and supplies inventory.
Sorting and distributing incoming mail or deliveries.
Consistently managing multiple projects and tasks, with competing priorities, by assigned deadlines.
Assists with a variety of account payable and admin tasks.

Successful candidates will possess:

Proficiency with Microsoft Office, including Outlook, Excel and Word
Strong attention to detail and organizational skills.
Ability to receive and follow specific instructions and procedures given from multiple individuals.
Ability to multi-task in a fast paced, active office environment.
Ability to perform basic math, simple accounting and data entry.
Ability to communicate effectively, both orally and in writing.
Ten key & multi-line phone experience preferred
Ability to maintain confidentiality of records and information.

Work activities include, but are not limited to:

Coding incoming invoices received via mail, email or fax, inputting into proprietary software, with accuracy and detail.
Maintain subcontractor certificates of insurance logbook
Maintain logbook of all incoming IRS W9 forms proving subcontractor type of business.
Process paid invoices with the appropriate date and check number, filing in designated job and/or expense folders.
Administer and collect lien waivers.
Prepare and maintain new job information folders.

Qualifications include, but are not limited to:

Excellent verbal and written communication skills
Proven phone and customer service skills
Excellent organizational skills and attention to detail
Excellent time management skills with a proven ability to meet deadlines
Ability to prioritize tasks and function in an environment with frequent interruptions
Ability to act with integrity, professionalism, and confidentiality
Receives direction well from multiple individuals
Proficient with Microsoft Office Suite or related software
Ability to operate a 10-key adding machine/calculator
Proficiency with or the ability to quickly learn the organization's payroll and HRIS
Minimum of 2 years of relevant experience

Schedule:

8 hour shifts, 5 days a week (8am-5pm)
