Position Information

The Business Coordinator position reports to the Business and Operations Manager and is responsible for preparing reports and providing support for the Business and Operations of the Graduate School, providing assistance with financial and payroll transactions, and providing administrative support to the Graduate School & Interdisciplinary Studies.
  • Prepare and track departmental budget activity reports and similar documents.
  • Post entries to maintain ledgers, journals, registers, etc.
  • Handle all accounts payable processing for Graduate School, Center for Writers and Interdisciplinary Graduate Programs.
  • Prepare balance sheets, reports, and supporting schedules for appropriated and local funds.
  • Review accounts, reports, and records to verify accuracy; adjust as appropriate.
  • Reconcile Purchasing Card charges on a monthly basis.
  • Receive, track, and record payments of applications, graduation, and disquisition fees.
  • Track and maintain accurate inventory records.
  • Review and tract contracts for all graduate assistantships.
  • Verify and track required annual trainings for all graduate assistants (excluding Lab Safety course).
  • Review, process and track HR/Payroll forms for colleges and departments with non-lab requirements.
  • Generate and track graduate tuition waiver reports using Perceptive Content.
  • Generate, track, and update payroll and tuition waiver records in Access database.
  • Utilize Campus Connection to verify student records.
  • Track and maintain records of Documentation Retention and process the annual records disposal form.
  • Serve as the liaison between Registration and Records, HR/Payroll, and Finance for data records.
  • Assist with travel arrangements and supply purchases for staff and Interdisciplinary directors.
  • Assist Graduate Student Council with event planning and meeting requests.
  • Interact in a professional manner with students, staff, and visitors in person, by email, and on the phone.
  • Assist students and staff with inquiries by email, on the phone and in person.
  • Greet students, faculty and visitors who have a wide range of questions concerning the various functions of the Graduate School and other university offices.
  • Direct inquiries about policies and procedures to appropriate staff and other offices.
  • Carry out the general office duties.
  • Other duties as assigned.

Work Schedule:

Monday -Friday: 8:30-5 pm (Academice Year)

Monday -Friday: 7:30-4 pm (Breaks & Summer)

Advertised Salary:

$41,000 +/year ( Commensurate with experience)

Minimum Qualifications:
  • Associate's degree or relevant experience .
  • Two years of increasingly responsible office experience.
  • Excellent time-management and prioritization skills, with the ability to be flexible and manage multiple and competing demands effectively.
  • Ability to organize, prioritize, and meet deadlines.
  • Demonstrate organizational skills, attention to detail and accuracy.
  • Strong interpersonal, oral and written communication skills.
  • Demonstrate a high level of professionalism and confidentiality.
  • Proven ability to work independently and in a team setting.
  • Ability to multi-task.
  • Excellent customer service skills.
  • Excellent communication skills .
  • Ability to work with a diverse audience.
  • Good listening skills.
  • Computer skills to include Microsoft Office Suite.

Preferred Qualifications:
  • Bachelor's degree.
  • Proficiency in Excel or other spreadsheet applications.
  • Experience working in a higher education or administrative office
