Position Information

Description & Details:
Assist with production and walk-up copiers and other equipment

  • Serve as contact with walk-up copier customers
  • Provide training on machine operations when necessary
  • Research and troubleshoot issues for customers concerning copier performance
  • Maintain records and compile statistics and reports including charges, production volume, copier utilization, etc.
  • Assist with the volume for production equipment and walk-ups so we are not overusing or underusing equipment according to manufacturer's recommendation
  • Research space requirements for equipment
  • Coordinate delivery and set-up of equipment
  • Assist with inventory documents for new and replaced equipment
  • Coordinate network set-up, phone line and electrical needs.
  • Download walk-up copier readings once per month
  • Create and maintain monthly Auditron spreadsheets
  • Post monthly Auditron SSI journal through accounting
  • Email reports to each department account tech
  • Update access codes, email addresses and funding sources as requested
  • Research customer questions

Assist with Print and Copy Services Customer Services
  • Assist with Digital Storefront (DSF) software for job flow
  • Continually review performance of DSF software and mange upgrades and updates as needed
  • Communicate with DSF vendor and support when necessary
  • Coordinate customer training on DSF software and walk-up copier operation
  • Communicate with customers via emails, over the phone, email lists or face to face
  • Solve customer queries and respond to problems promptly, coordinating with other PCS staff
  • Follow-up on resolved issues to be sure customers are satisfied
  • Determine pricing schedule for production and walk-up copiers
  • Consult with customers on upcoming projects and scheduling
  • Resolve billing issues when need arises
  • Coordinate customer billing needs with department account tech
  • Document for account tech new copier placement base rates and access code needs
  • Create and update internal price lists for PCS staff
  • Develop benchmarks and carry out customer surveys

Market Print and Copy Services
  • Conduct research to identify opportunities for print and copy projects, such as documents not printed in our production center
  • Create marketing materials including newsletters, postcards, email blasts, etc.
  • Educate customers by using email lists, It's Happening at State articles, fliers, etc.
  • Visit customers and potential customers on campus
  • Keep DSF user and key operator email lists up to date
  • Educate customers on proper logo usage, postal requirements, etc.
  • Maintain PCS website: up-to-date photos, copy announcements, prices, etc.

Administrative Support
  • Back-up Distribution Center manager by sorting campus mail, applying postage to letters and packages, shipping packages using Spee-Dee or UPS, pulling publications etc. as needed
  • Assist where needed in Print and Copy Services area to include but not be limited to bindery and finishing operations for the requirements of the job ticket for digitally produced jobs.
  • Set-up and print digital copy jobs
  • Other duties as assigned in Print and Copy Services area.
  • Assist with administrative functions of the 24-person diverse Ag Communication department in conjunction with the Ag Comm Director
  • Assist with departmental correspondence, answer main departmental telephone, transfer calls to appropriate people and greet visitors
  • Assist with inventory of department assets, coordinate surplus process, and order and maintain office supplies
  • Assist with check out, inventory and inspect check-out equipment
  • Assist with coordination of service requests, motor pool reservations and other departmental paperwork, including occasional accounting and grants and contracts paperwork
  • Assist with departmental telecommunications and unit record coordination
  • Maintain understanding of university processes and policies; educate and assist staff as needed
  • Complete other duties as requested by the Ag Comm Director

Work Schedule:

Monday - Friday, 40/hours a week

Advertised Salary:

$40,000/year depending on experience and qualifications

Minimum Qualifications:
  • Associate's degree in Business Administration/Administrative Services or related field
  • At least two years of related work experience
  • Customer service oriented
  • Ability to organize and prioritize work and meet deadlines
  • Proficient in office accounting/management skills
  • Ability to work both independently and as a team member
  • Ability to learn new skills and teach them to others
  • Excellent interpersonal, oral and written communication skills
  • Initiative, leadership and strategic thinking
  • Detail-oriented
