Position Information

Description & Details: The Fire Administrative Assistant will be responsible to assist with all fire financial and records management. The position will track all fire expenditures; maintain databases for fire incidents and expenditures; and complete firefighting time and payroll, equipment expenditures and reimbursement procedures. The Fire Administrative Assistant will complete travel vouchers and also assist with record keeping of the federal excess personal property (FEPP) and firefighter program (FFP). Interagency Incident Business Management training will be provided as needed.

Responsibilities: Assist with Financial and Record Management for the Fire Management Program. Provide program support for the Fire Management Program. Database management. Work safely. Focus on providing exceptional service to internal and external customers through a professional and team driven environment.

Work Schedule: Monday-Friday 7:30am-4:30pm

Advertised Salary: $39,039 + DOE

Minimum Qualifications:
  • High school diploma and 2 years of college with business or office management as the field of study or equivalent years of experience.
  • Required (2) years of work experience in addition for formal education/training directly related to administrative skills to include bookkeeping, office management, records management and various computer software programs.
  • Skills that demonstrate knowledge, expertise, and leadership in office management.
  • Demonstrated ability to organize and prioritize tasks, manage time, and adapt to change.
  • Demonstrated ability to develop and maintain effective working relationships with colleagues, seasonal firefighters, and partners.
  • Demonstrated ability to communicate effectively, both orally and in writing, with individuals and groups.
  • Demonstrated strong personnel skills.
  • Demonstrated ability to conduct oneself professionally, be self-directed in the work environment and work extended hours when needed.
  • Valid Driver's License.
  • Ability to work safely and follow policies, procedures, codes and standards.

Preferred Qualifications:
  • Advanced Microsoft certification.
  • Specialized knowledge of office management.
  • Prior experience/training with fire business and fire administrative management.

About Us:

The North Dakota Forest Service (NDFS) is part of North Dakota State University, and is the state agency which administers cooperative forestry programs statewide. NDFS provides technical assistance relating to the management of private forest lands, state forest lands, urban and community forests, tree planting, forest health, and wildfire protection. The agency works in cooperation with rural landowners, urban residents, communities, rural fire districts, schools, and other governmental entities to direct and strengthen forestry services. The agency also operates a forest tree nursery and manages its own state forest lands. The Fire Management Program protects lives, property and natural resources by providing fire suppression assistance, training, and equipment to 378 ND fire departments, and by responding to fire suppression assistance requests nationally when conditions in ND allow.
