Position Information

Description & Details: The Administrative Assistant provides specialized administrative support to all of the programs within the Department of Animal Sciences, our Extension faculty, and the department head. The wide range of responsibilities includes, but is not limited to:
  • Assist the Department Head
    • Ensure confidentiality and understand office protocols
    • Direct administrative support (correspondence, taking minutes, listserv upkeep)
    • Maintain department website and grow our social media presence across multiple mediums (Facebook, Twitter, Instagram, Youtube)
    • Assist with creating, developing, and producing a departmental newsletter (3 per year)
    • Review and update manuals and forms annually/as needed
    • Compile and maintain alumni and retiree mailing lists, and maintain adjuct and emeritus files
    • Participate as Department ambassador, if requested by the Department Head
  • Provide support for Extension Specialists in the department
    • Coordinate travel plans
    • Provide meeting support by taking minutes, gathering materials, ordering catering, etc.
    • Service as contact and administrative support for student organizations and events
    • Assist with flier creation, and Fact Sheet and extension materials updates
    • Onboard graduate students of extension specialists
  • Perform and lead administrative duties
    • Exhibit appropriate communication and decision-making skills
    • Ensure prompt and professional front office service
    • Assist faculty with meeting scheduling and technical assistance
    • Maintain office filing systems
    • Order materials as needed
  • Provide exceptional service to faculty, staff, students, and guests by fostering a professional and collaborative work environment
    • Work ethically and with integrity
    • Resolve differences constructively, using tact and courtesy at all times
    • Effectively adapt to changes in the work environment
    • Be a positive role model by assisting in maintaining a high level of morale in the office

Work Schedule: This is a full-time, in-office, 12-month position.

Advertised Salary: $30,000+ DOE

Minimum Qualifications:
  • High school diploma or GED and 4 years of relevant experience
  • Proficient computer skills to include Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), social media (Facebook, Twitter, Instagram, Youtube), and digital meeting platforms (Zoom and Teams)
  • Excellent interpersonal, written, and oral communication skills
  • Excellent organizational skills, including the ability to manage multiple projects and meet deadlines
  • Initiative
  • Ability to work in both a team setting and individually

Preferred Qualifications:
  • Bachelor's degree
  • Knowledge of university policies and procedures
  • Knowledge of CampusConnection/PeopleSoft
  • Website creation and maintenance experience
  • Experience working with a diverse group of students, faculty, and staff
  • Ability to learn additional applications and programs, as needed
