Position Information

North Dakota State University's Office of Research and Creative Activity houses the ND EPSCoR office, which works to strengthen research and STEM capacity and beyond throughout the state. Reporting to the Project Administrator, t he Administrative Coordinator position will provide administrative support for ND EPSCoR office functions including: statewide programs and projects; daily activities of the ND EPSCoR office; ND EPSCoR State Steering Committee; and, logistical support for meetings and events.

Responsibilities

The Administrative Coordinator will:
  • Assist the Executive Director and the Project Administrator (PA), including: work with correspondence and maintain mailing lists and files
  • Perform and lead office operations, including: equipment/supplies purchases; software licensing; and, telephone administration
  • Provide additional departmental support, including: monitor and handle email to central email account and other office-related communications (e.g., newsletters)
  • Manage travel arrangements and travel reimbursements
  • Support for meetings and events, including: meeting scheduling/coordination; meeting logistics (e.g. take minutes, start virtual meetings, record meetings, post agendas to ND Secretary of State open meetings website)
  • Support for event logistics (e.g., identify venues, set up venue tours, coordinate movement of materials, supplies, and equipment to/from venue, etc.); point of contact for external vendors (e.g. caterers, hotels, equipment, transportation, etc.)
  • Provide technical assistance and equipment setup for office staff

Work Schedule:
Full-time, 12 months. Monday-Friday 8am-5pm [academic year]; 7:30am-4pm [academic breaks and summer]

Advertised Salary: Commensurate with experience.

Minimum Qualifications:
  • High School Diploma or GED
  • 2 years relevant experience in office administration
  • Proficient computer skills to include Microsoft Office Suite (i.e., Word, Excel, PowerPoint, Outlook); digital meeting platforms (i.e., Zoom, MS Teams, etc.)
  • Excellent interpersonal, written, and oral communication skills
  • Excellent organizational skills (such as ability to manage multiple projects and meet deadlines)
  • Ability to work in both a team setting and individually

Preferred Qualifications:
  • Associate's or Bachelor's degree
  • 4 years relevant experience in office administration and/or event planning
  • Knowledge of university policies and procedures
  • Experience with university policies and procedures
  • Working knowledge of survey tools (e.g., Qualtrics, etc.)
  • Ability to learn additional applications and programs, as needed
