JOB SUMMARY


The Administrative Assistant & Accounts Receivable Clerk/Collections is responsible for general administrative tasks including accounts receivable duties.


ESSENTIAL DUTIES AND RESPONSIBILITIES


To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.


  • Main support for all incoming telephone calls
  • Accounts Receivable: Process Incoming Payments
  • Accounts Receivable: Contact Customers for Payments
  • Accounts Payable: Enter Shipping Invoices Related to Customer Shipments
  • Prepare and Mail Accounts Payable Vendor Checks
  • General Filing: Accounts Receivable, Accounts Payable, etc.
  • Daily Scanning of: Production Orders, Delivery Notes and Receiving Documents into SAP
  • Daily Incoming/Outgoing Mail: Process/Sort/Distribute
  • Update and Post Weekly Sales Chart
  • Order Office Supplies
  • Make Travel / Hotel Arrangements for Guests
  • Set-up and Organize the Catering for Meetings, Client Visits and Company-wide Meals
  • Annual Update of Customer Price Book: Coordinate with Sales Manager
  • Provide Administrative Support to Management
  • Assist and Provide Support to Coworkers
  • Follow All Safety Rules and Procedures
  • Perform Other Duties as Required or Assigned

REPORTING RELATIONSHIP(S):

Reports directly to the VP of Finance

QUALIFICATION REQUIREMENTS


The requirements listed below are representative of the education, certifications, knowledge, skills, and/or abilities required.


Education / Experience

2 year Business Associates Degree

or

2-3 years equivalent administrative / accounting experience

1+ years of previous collections experience


Knowledge, Skills, and Abilities

  • Basic computer skills
  • Advanced knowledge of MS Word and Excel
  • Basic knowledge of SAP
  • Collections/Accounts Receivable experience
  • Ability to work well under minimal supervision
  • Ability to effectively prioritize
  • Ability to effectively manage time and meet all necessary deadlines
  • Able to proficiently read and write in English
  • Ability to communicate clearly and effectively (written and verbal)
  • Able to do accurate work at a rapid and consistent pace
  • Work well independently as well as with others or in a team
  • Ability to follow work instructions accurately
  • Have attention to detail
  • Ability to exhibit high personal morale
