Provides clerical support to the Arden Hills division of Alerus Retirement and Benefits. Primarily responsible for sorting and delivering all incoming mail, packages and overnights. Assists with printing and delivering web upload documents. Also responsible for preparing out going mail, overnight, ground and interoffice packages. In addition, is responsible for sorting, coping, folding and stuffing letters, return mail.

Job Function Number 1: Provide Mail Service -40%
  • Timely process and deliver of all incoming mail and packages.
  • Prepare outgoing overnights and ground packages.
  • Process return mail.
  • Develop relationship with UBM contacts to enhance mail efficiencies.
  • Order mail supplies as needed.

Job Function Number 2: General office support -30%
  • Sort, copy, fold and stuff confirmation and PIN letters.
  • Assist with faxes and web uploads.
  • Assist with internal mailings as requested.
  • Keep break and conference rooms stocked and organized.
  • Back up team as necessary.

Job Function Number 3: Provide customer service and teambuilding.-15%
  • Provide prompt, courteous service to all internal and external customers.
  • Respond to customer requests within defined turnaround times.
  • Help identify ways to improve efficiencies.
  • Foster a positive work environment and support co-workers in the achievement of departmental goals.
  • Treat all co-workers with professionalism and respect.
  • Provide employee feedback and contribute to solving work-related issues.
  • Use company resources appropriately to maintain expenses within budget.

Job Function Number 4: Technical and Professional Development-10%
  • Attend and participate in department training programs and meetings as applicable.
  • Develop proficiency on systems including, ARB Tracking, Omni, Microsoft Word and Excel in order to accurately and efficiently complete daily activities.
  • Identify personal training needs.
  • Identify opportunities to improve existing systems and processes.
  • Document and maintain processes and service level agreements in Alerus R&R database.
  • Increase personal knowledge and expertise in retirement plan field.

Job Function Number 5: Provide back up support for check auditing & mailing-5%
  • Verify checks against paperwork to ensure accuracy.
  • Process any checks with special handling. Document on spreadsheet.
  • Count envelopes to match number given from trust to ensure counts match.
  • Prepare for mailing before mail cutoff time .

  • High school graduate or equivalent minimum.
  • General office experience a plus.
  • Basic computer skills are a must.
  • Ability to adapt to a fast-paced, changing environment.
  • Good written/oral communication and organization skills required.
  • Ability to effectively coordinate daily workload with assigned special projects.
  • Satisfactory attendance/punctuality.
  • Available to work overtime to cover peak workloads and to meet daily workload schedules.
