This position is responsible for the trade set-up for new and existing business, late day trading process, and dividend processing. The position will participate in company conversions including data conversion, system testing, mergers, system maintenance, and development projects. The position is responsible to take initiative to develop and implement efficiencies; manage and maintain own workload while working with different departments and clients.

Job Function Number 1: Trading set-up (45%)
  • Responsible for new plan and new fund set-up
  • Responsible for fund to fund set-up
  • Verification and reconciliation of fund redemption fees.
  • Responsible for fund and broker re-registrations.
  • Serves as contact for various fund availability and fund master inquiries.

Job Function Number 2: Lateday Trading (30%)
  • Establish and maintain primary relationships with various custodians.
  • Price the mutual funds, stock, and collective funds on the recordkeeping and trust systems.
  • Process transactions on the recordkeeping system.
  • Load files from the recordkeeping system into the trading system.
  • Send trade files to various custodians.
  • Analyzes and corrects any trading rejects.
  • Work with the settlement and recon areas on any out of balance conditions.
  • Responsible to work with and inform management in the event of issues or unusual trade processing.

Job Function Number 3: Assist in various projects (10%)
  • Coordinate system release testing and implementation, communicate changes to various departments.
  • Assist with conversions and mergers, analyze funds held by acquired business and work with departments as needed to assure funds can be held, traded, and are converted accurately.

Job Function Number 4: Dividends (10%)
  • Coordinates with team members to complete posting of dividends by deadline.
  • Performs additional jobs to make sure prices and rates are correct.

Job Function Number 5: Documentation and backup (5%)
  • Maintain documentation of functions and procedures in R&R database.
  • Provide backup for business system analyst functions.
  • Assist team members during busy times where needed.

Requirements

Qualifications:
  • Bachelor's degree in Accounting, Finance, Business, or equivalent related experience.
  • 6+ years of experience in retirement operations or related area.
  • Able to make business judgements based on knowledge.
  • Facilitates communication between various departments, vendors, and team members.
  • Ability to effectively prioritize and manage multiple assignments.
  • Demonstrated problem-solving ability and able to perform complicated tasks.
  • Able to lead and direct the work of others.
  • Responsible for follow up and research for clients and staff.
  • Responsible to assist with the design and implementation of all operations systems and workflows.
  • Extensive knowledge of retirement and recordkeeping systems and recordkeeping operational functions which is used to answer questions.
  • Efficient in Microsoft Excel including formulas, pivot tables, and functions.
  • Proven record of working in a fast paced environment while managing multiple tasks and deadlines.
  • Available to work flexible hours to meet daily schedules & cover peak workloads (as in acquisitions and system upgrades).

Physical Demands: (must be met with or without a reasonable accommodation)
  • Extended periods of time at a desk and using office equipment.
  • Ability to operate a personal computer/laptop for approximately 8 hours per day.
  • Extended time is spent reviewing documents, both actual papers or electronic.
  • The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision.
  • Periodically, may also do light lifting of supplies and materials which weighs in at approximately 20 lbs.
  • Will spend most of time in an indoor environment.
