Summary: This position is responsible for creating a positive experience for visitors and PrimeWest Health staff and for working as a team with the Administrative Services staff. The Administrative Specialist I should be proactive in assisting staff with various travel and meeting/conference room needs, timely mail distribution (both incoming and outgoing), and other tasks as assigned based on the organization's needs. This position provides floating support to department directors and PrimeWest Health staff to ensure the office functions smoothly and efficiently. This position must prioritize projects among departments to ensure projects are completed as required while maintaining the core Administrative Specialist I duties in a cost effective way. The Administrative Specialist I must be comfortable with flexibility and highly skilled in multitasking, prioritizing, and time management.

B. Role and Key Responsibilities
Assist the Director of Administrative Services and PrimeWest Health staff in the following as needed:
1. Provide support to PrimeWest Health staff as needed, including but not limited to, the following:
a. Greet visitors
b. Answer incoming calls not disbursed by the voicemail system and handle or route to other staff as needed, maintain a pleasant and cheerful phone manner, answer calls in an efficient and prompt manner, and ensure phone and front desk coverage when away from desk
c. Ensure the member, provider, guest visit workflows are administered promptly and efficiently
d. Work as a team with the Administrative Services department to ensure positive working relationships
e. Work in collaboration with the Administrative Generalist to ensure completion of ongoing tasks, including preparing and distributing mail, restocking/ordering office supplies and utensils for work rooms and break rooms, cleaning refrigerators, and conducting nightly closing procedures
f. Organize monthly Joint Powers Board (JBP) meetings and attend to any associated needs
g. Prepare meeting materials as needed by Administrative Services
h. Participate in weekly department meetings
i. Oversee conference room scheduling/catering
j. Oversee fleet vehicle scheduling and ensure proper insurance documents are on file for individual drivers
k. Ensure proper distribution of faxes
l. Return all paper claims to providers for proper processing
2. Perform data entry:
a. Enter data as follows:
i. Enter Coordination of Benefits (COBs) into M-Files
ii. Enter monthly Accountable Rural Community Health (ARCH) data
b. Enter data for other projects as needed
3. Track spreadsheets
a. Enter, review, and update documents in JIRA, including, but not limited to, Minnesota Health Care
Programs (MHCP) updates, Managed Care Organization (MCO) updates, Minnesota Department of
Human Services (DHS) licensing updates, and Regulatory Communications Workgroup (RCW)
information
b. Track return postage and postage due
c. Track Office of Inspector General - Excluded Party List System (OIG - EPLS) comparison emails

C. General PrimeWest Health Responsibilities
1. Abide by the PrimeWest Health Code of Conduct
2. Comply with all PrimeWest Health policies and procedures
3. Comply with the Health Insurance Portability and Accountability Act (HIPAA) and all other privacy laws
4. Be familiar with building safety procedures and alert maintenance if something requires attention
5. Keep public areas of the department and office neat and clean
6. Produce accurate and high-quality work
7. Accept all assigned duties with a positive attitude
8. Conduct other responsibilities and activities as needed and assigned

E. Educational Requirements and Required Qualifications
1. At minimum, an associate degree or diploma in administrative assistance, or two years' experience
equivalent to the position requirements
2. Demonstrated knowledge of and proficiency in Word, Excel, and Outlook, as well as accurate data entry
skills required. Experience in Visio and JIRA is a plus.
3. Flexibility and ability to handle multiple tasks. Demonstrated organizational skills and attention to detail.
Ability to work effectively with a variety of people both within and outside of the organization. Good verbal
and written communication skills.
4. Enthusiasm and eagerness to learn and improve the office support function.
5. Ability to sit at a desk or computer station most of the time. Ability to occasionally lift and/or carry such
articles as file folders and small boxes up to 20 pounds.
