Description

This position will support the R.D. Offutt Company real estate team. The Real Estate Administrative Assistant is intended to fill several essential roles including but not limited to contract audit, transaction coordination, and administrative support.


Job Duties

  • Perform a variety of administrative tasks including but not limited to phone support, draft, preparation and distribution of correspondence, calendar and scheduling, meeting coordination, filing and copying.
  • Accurately track deadlines, review all paperwork for compliance and work closely with all parties involved in transactions.
  • Assist with acquiring and coordinating data related to potential purchases or sales of properties including preparation of market research and presentation materials.
  • Draft legal documents such as purchase agreements, warranty deeds, bill of sale, resolution, amendments, and leases.
  • Establish process timelines and checklists to ensure substantive review of due diligence materials.
  • Facilitate and coordinate the necessary pre-closing functions associated with purchases and sales such as title work, surveys, financing documents, 1031 exchange documents, and other required documentation.
  • Facilitate and coordinate the necessary closing functions associate with purchases and sales such as working with closing companies and attorneys to prepare accurate closing statements, post-closing document transfer, filing, and property information integration into R.D. Offutt Companies property management system.
  • Administratively manage R.D. Offutt Companies agricultural leases. This position will work closely with farm managers and act as a liaison to the President assisting with negotiations and documenting results.
  • Create and maintain property files to ensure the required documentation is collected and filed in accordance with company policy.
  • Prepare and issues payment authorization to vendors as required.
  • Develop and facilitate positive relationships with customers and vendors and ensure compliance with contract terms.
  • Prepare weekly team progress reports and communicate status during regularly scheduled team meetings.
  • Follow all safety rules and regulations while performing work assignments and adhere to all policies and procedures as specified in company manuals and as directed in the employee handbook.
  • Conduct self in the presence of customers and community to present a professional image of PROffutt.
  • Maintain a positive and professional working relationship with peers, management, and support resources, with a constant commitment to teamwork and exemplary customer service.
  • Perform all other duties as assigned by management in a professional and efficient manner.

Requirements

  • Minimum of 3 years previous administrative experience required.
  • Minimum 3 years work experience with a real estate firm or similar position within an accounting firm, law firm, or title company.
  • Bachelor’s degree in Real Estate, Finance, Economics or other business discipline preferred.
  • Proficiency in Microsoft software applications (Excel, PowerPoint, Word and Outlook).
  • High attention to detail and accuracy.
  • Excellent interpersonal, written and verbal communication skills.
  • Ability to work autonomously and manage multiple deadlines independently.
  • Ability to handle and maintain the confidentiality of sensitive information.
  • Ability to travel.
  • Valid Driver’s license required.
