Job Summary

The Executive Assistant performs advanced, diversified, and confidential administrative duties in support of Vice Presidents (VPs) and Senior VPs (SVPs) within the company while working within general guidelines and using sound judgement and discretion. This position prepares and initiates correspondence and memoranda, resolves complex inquiries, schedules appointments, prepares meetings and travel itineraries, and provides guidance on administrative matters as needed.

Essential Functions

Key Duties/Responsibilities/Accountabilities
  • Organizes and controls workflow and information in support of executive objectives while ensuring various administrative tasks are performed in an effective and efficient manner.
  • Manages schedules and calendars and proactively coordinates all travel arrangements.
  • Composes, reviews, and proofreads a variety of materials including interoffice communications, presentations, contracts, letters, memoranda, agenda items, and other materials.
  • Collects, compiles, records, researches, or otherwise gathers data and prepares standard and custom reports with information necessary for decision-making.
  • Creates, prepares, establishes, maintains, edits, and distributes policies and procedures.
  • Advises individuals inside and outside the organization on the executive views on major policies or current issues facing the organization.
  • Contacts or replies to contacts from high ranking individuals that may involve unique situations where each contact must be handled differently, using judgment and discretion.
  • Utilizes a broad view of the organization's operations, organizational procedures, and personnel.
  • Handles confidential and sensitive material.
  • Functions as the key administrative resource for the company.
  • Manages special projects through to completion and participates in cross-functional teams.
  • Provides guidance and advice on administrative matters to executives, management, or other staff.

Requirements

Qualifications

Minimum Qualifications:
  • Associate's degree in Business Administration, Communication, Healthcare Administration, or related field or equivalent work experience as determined by Human Resources
  • 5 years' administrative assistant experience
  • Demonstrated ability to anticipate needs and take initiative
  • Ability to exercise independent judgment and discretion
  • Proficient in Microsoft Office Word, Excel, and PowerPoint
  • Ability to work in a fast-paced, ever changing environment and adapt to change quickly


Preferred Qualifications:
  • Bachelor's degree in Business Administration, Communications, Healthcare Administration, or closely related field
  • 8 years' administrative assistant experience assistant
  • Excellent skills in Microsoft Office Word, Excel, and PowerPoint
  • Prior experience as an Executive Assistant


Environment and Cognitive/Physical Demands
  • Office Environment
  • Ability to read, hear, speak, keyboard, reason, communicate effectively and problem solve
  • Requires prolonged sitting and telephone usage
  • Requires the use of office equipment such as computer terminals, telephones, copiers and printers
  • Infrequent lifting up to 15 pounds
  • Infrequent stooping
