Overview

Under the supervision of the Human Resources Manager, performs and provides technical support, accounting, record maintenance, and general office function for the Human Resources Department.

Full-time, benefited position working 72-80 hours per two week pay period. Days of work are Monday - Friday with hours from 7:45 am - 4:15 pm. Microsoft office (excel and word) testing required.

Responsibilities

  • Responsible for maintenance of a variety of files and recordkeeping systems including hospital policies, department procedures, employee files, health screening programs, orientation information, performance evaluations, and applicant tracking system. Responsible for the design of an online application for incorporation into hospital web page. Responsible to ensure logs used for tracking compliance issues are up to date and that proper notice have been sent to managers.
  • Posts jobs on and maintains iCIMS – applicant tracking system. Ensures applications get send to managers, interviews set up and letters sent to applicants not chosen.
  • Conducts pre and post screening of all applicants.
  • Schedules interviews with the appropriate manager/supervisor and sending out written reference check forms and schedules appointments for job applicants.
  • Processes new hire paperwork process to ensure all required paperwork has been completed including licensure information, benefit eligibility dates, Time and Attendance training, employee health paperwork, department checklist, and General Orientation checklist. Is responsible to maintain the department checklist and ensure that managers receive an updated version of the department checklist. This includes incorporating job description language into new department checklists. Responsible for general orientation checklist to ensure new and revised policies are included and standards are meeting Joint Commission requirements.
  • Creates new hire badges.
  • Processes transfer paperwork and terminations.
  • Responsible for and coordinates the HealthStream Learning and Assessment Programs and distribution of reports.
  • Responsible for ensuring that job descriptions are reviewed annually by department managers.
  • Use media equipment such as scanners, digital cameras, sound records, video equipment, and computerized overhead projection.
  • Responsible for updates and accuracy of Human Resource policies on TheCore.
  • Responsible to ensure licenses are up to date and that proper notices have been sent to the employee and managers.
  • Acts as the backup for the Payroll and Benefit Coordinator for Time and Attendance functions such as processing payroll, distributing reports, assisting employees, and answering questions.
  • Acts as the backup for benefit for the following duties: Leave of Absence and FMLA recordkeeping and paperwork processing including – ensuring that request form is complete and accompanied by a physician verification form; sending the employee a copy of the approved leave form; use of accruals, insurance premium information, etc. Ensuring that status change forms are received placing the employee on a leave and removing the employee from a leave at the completion of a leave; notifies employees of benefits eligibility dates. Obtains licensure information from new hires and coordinates licensure renewal program for all facility departments; completes monthly billing for health and life insurance, 401(k), dental, long term disability and United Way. Responsible for notification of COBRA rights for benefits and for tracking COBRA participants; assists with flex spending enrollment; backup for flex spending distribution; assists with benefit enrollments, benefit inquiries, monthly billings and distributions for various benefits; process distributions for 401(k) and pension plans; assists with completion of required reports such as 5500 etc. Short Term Disability tracking.
  • Utilizes the software applications system, performs a wide variety of typing assignments, which may be confidential in nature including offer letters, applicant letters, minutes, reports, correspondence, hospital policies, department procedures, and special projects.
  • Assists with recruitment activities including: listing positions with Job Service, overseeing the internal posting system, placing advertisements, working with department managers to identify qualifications required for available positions, scheduling and conducting interviews, checking references by phone or mail, making offers to candidates with approval of department managers, and ensuring that an offer letter is generated. As directed by Human Resource Manager.
  • Coordinates the hospital general orientation program including scheduling of new employees, presenters, meeting rooms, and equipment.
  • Assists the Workforce Safety and Insurance Coordinator with the Near Miss/Injury Incidents. Serves as the backup for online claim submission.
  • Assists in ensuring the HR office display is in accordance with posting guidelines and prepares articles on benefits and employee-related items for the official hospital publication.
  • Provides clerical back-up for other departments as needed or requested.
  • Assist in the distribution of incoming mail on a daily basis.
  • Assist in the ordering of office supplies for the Human Resources Department and staying within allotted budget standards.
  • Performs other related duties as assigned or requested.
  • Serves on JRMC committees as needed.
  • Maintains employee photos on the media drive for badges/remove when terminated.
  • Coordinate new hire/transfer/contract/intern EPIC training with Sanford Representatives and supertrainers/managers.
  • Maintains contract staff and students.
  • Trains new Human Resources Staff.
  • Serves as a backup clinical services assistant in regards to EPIC training.
  • Assists with processing market and merit raises each year.
  • Assists with year end processing and W2 distribution mailing.
  • Responsible for coordinating job shadow/intern paperwork.


Qualifications

Associates of Arts degree or Bachelor degree preferred.

Three to five years experience with accounting, payroll, business or finance preferred. Must be proficient in Word, Excel, Outlook, Powerpoint, and other software applications, Must be adaptable and willing to learn user specific programs. Familiarity with web and database applications preferred.
