Overview

Titan Machinery operates one of the largest networks of full service agricultural and construction equipment stores in North America. We operate over 75 stores across North America and Europe. We are a very dynamic and progressive organization always searching for great people to become a part of the team.

This position is highly visible to both our customers and employees and will provide administrative and general accounting support to the stores, working closely with the Parts Sales Managers, Service Managers, and Area/Region Managers in the operation of a successful store.

Responsibilities

  • Accurately process daily and monthly accounting duties, including daily cash balance reconciliation, accounts payable, accounts receivable, sales and rental paperwork, DPO closures, and reporting
  • Communicate accounts receivable balances to managers on a regular basis and assist with collections as needed
  • Maintain proficiency with all business systems
  • Provides administrative support for the store, including performing routine administrative functions such as copying, faxing, filing, sorting incoming mail, etc.
  • Partner with managers and employees to ensure that the store is SOX compliant
  • Works with the Area and/or Region Managers to help ensure the store follows all policies and procedures as defined in the SOP Manual and other policy, process, and procedure documents
  • Responsible for greeting and directing customers in a professional and courteous manner, including over the phone, in-person and online customers
  • Works effectively with Parts and Service Managers to ensure that the store achieves its customer and performance objectives by completing daily, weekly, monthly, and assigned processes and procedures in a timely and accurate manner, including but not limited to:
    • Maintain and run various parts reports and assist with other parts activities as needed
    • Accurately and efficiently open and close work orders
    • Enter Service Technician notes into the computer system
    • Maintain knowledge and understanding of the policies and procedures of the vendors
    • Assist with tracking product improvement campaigns
    • Assist the Service Technicians with the use of various support systems used by Titan and vendors
    • Maintain the various tracking logs used by the parts and service departments to manage their business
    • Assist in maintaining specialty tool inventory at the store
    • Work with the Region Warranty Specialist to accurately and efficiently file product warranty claims including follow-up to maximize warranty reimbursement
  • Assist the Area and/or Region Sales Managers with wholegoods administration as required, including but not limited to:
    • Work with the sales team through the CRM process to maximize sales through efficient sales and marketing efforts and building strong customer relationships
    • Complete sales transmittal form and assemble and submit sales packet
    • Trade evaluations
    • Customer quotes and sales worksheets
    • Lien searches
    • Posting unit pictures and attributes in a timely and accurate manner online
    • Customer Credit Applications and Retail Finance Contracts
  • Follow all safety rules and regulations while performing work assignments
  • Other duties as assigned


Qualifications

Required:
  • Associate's Degree or equivalent work experience
  • 3 plus years of experience in an accounting, administrative assistant position or related field
  • Ability to handle and resolve frequent interpersonal conflict
  • Ability to perform in a fast-paced, stressful work environment
  • Ability to respond quickly, accurately, and professionally to demands and requests from customers and employees
  • Ability to travel on a limited basis

Physical Requirements

Sedentary Work - Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects including the human body.
