JOB SUMMARY

Provides first line of customer support. Demonstrate excellent customer service skills and take initiative to meet the needs of all guests to ensure a positive experience. Demonstrate a courteous, friendly and welcoming manner. Consistently Offer personal assistance and resources available to patients, families, guests and visitors. Will demonstrate familiarity to campus, interdepartmental teams, clinics and own working environment to provide assistance upon request. May assist with directing and escorting individuals as necessary to provide the full service experience. May provide additional assistance and preparation for patients/guests depending on their designation for an upcoming appointment. As needed act as a liaison between staff and guests to keep each party well informed. Assist in maintaining department cleanliness and organization. Must possess a knowledge and understanding of the designated computer systems to provide necessary services associated with daily tasks. Expected to comply with other job related responsibilities as assigned by management. Additional clerical responsibilities may include, but not limited to assist with incoming phone calls, entering of data including orders, troubleshooting potential workflow discrepancies and inefficiencies as needed, entry level billing when necessary along with data reports.Interaction of population will vary depending on facility location and setting. Must be perceptive to the needs of all guests with critical thinking skills to help them with their needs. Demonstrates empathy, understanding, compassion and kindness to all visitors, customers or patients/family members regardless of race, color and culture, socio-economic, or physical or emotional condition. Possess excellent communication skills and be able to interact in a supportive, positive manner, acknowledging the level of importance and sensitivity for those visiting the facility while remaining composed under pressure. Responds with empathy and strong interpersonal skills. Must remain calm and provide reassurance regardless of situation. Must have a positive attitude, the ability to learn quickly and adapt easily to change.

POSITION RESPONSIBILITIES
  • Greets and assists customers in selection of medical equipment or supplies based on individual needs or physician orders. Must also demonstrate timeliness, courtesy, sincerity and patience when working with customers.
  • Develop and maintain working knowledge of current HME/DME products and services, and all applicable insurance guidelines respecting eligibility for coverage and reimbursement including but not limited to Medicare and Medicaid programs.
  • Obtains comprehensive medical and demographic data from client/referral source and enter data into computer. Also, verifies insurance coverage at the onset of new services.
  • Understand and comply with all governmental, regulatory and Health Care Accessories billing and compliance regulations/policies Creates and processes sales orders or pick-ups of medical equipment and supplies and processes returns.
  • Coordinates, verifies and communicates with HME Technicians for scheduled delivery dates and times.
  • Process customer supply re-orders accurately and efficiently by following departmental procedures.
  • Concisely and accurately document customer requests and interactions.
  • Identify and respond to customer needs, problems, and initiate actions to ensure customer satisfaction.
  • Responsible for assisting with the inbound call queue as required by business needs.
  • Performs other duties as assigned by management.

    Hours are M-F from 9-6 with rotating Saturday's from 9-1

    QUALIFICATIONS

    High school diploma or equivalent required. One year of office experience with exposure to customer relations and computer data input preferred. Medical Terminology knowledge preferred. Depending on department, Medicare and Medicaid billing knowledge preferred.
