The headquarters office in Fargo manages member services and publications and coordinates the Association’s international conferences and symposia.

POSITION DESCRIPTION

The Administrative Assistant will be primarily responsible for management of the registration process associated with membership and events. This position will also manage accounts receivable and accounts payable. This position will work with a flexible and friendly core staff in a team-oriented atmosphere at IAIA Headquarters in Fargo.

PRIMARY RESPONSIBILITIES

  • Acts as “first-line” public relations for IAIA by answering email and phone inquiries.
  • Maintains member and registration records, including data entry, conducting queries and reports, and compiling statistics.
  • Assists with annual conference and symposium preparations and follow-up, including preparing invitation letters, addressing visa issues, generating event nametags, and preparing event participants lists.
  • Provides on-site staffing and customer service at the annual conferences, and at symposia as needed.
  • Manages accounts receivable, including preparing and tracking invoices, processing payments and refunds, and issuing receipts.
  • Manages accounts payable, including ensuring bills are accurate and issuing payments, organizing and preparing monthly financial documentation for IAIA’s accountant, maintaining financial reference documents, and assisting with corporate reporting.
  • Assists with conference and membership surveys.
  • Provides additional administrative support to the Executive Director, Headquarters staff, and Association members as required.

SKILLS, KNOWLEDGE, AND EXPERIENCE

  • Previous experience in an office setting required, with a minimum of 3 years preferred.
  • Post-secondary degree required.
  • Proficiency with PCs, Microsoft Excel, and databases required.
  • Experience managing financial transactions preferred.
  • Strong verbal and written communication skills.
  • Strong interpersonal skills, able to interact well with people from around the world.
  • Ability to work both independently and in a team environment.
  • Ability to plan, organize, and control detailed projects and tasks and quickly resolve issues.
  • Strong ethics, with an ability to manage confidential information.
  • Willingness and ability to travel internationally.
