Semi-independent office work which involves a variety of moderately difficult and specialized activities.  Work requires considerable accuracy and responsibility in performing accounting and clerical functions and related duties.  


Provides Support for:  Vice President of Finance & Administration


Specific Tasks


Process bi-weekly payroll & related payroll reports, expense reimbursements, and general journal entries.  Maintain payroll software with pay rates, tax withholding and various deductions, including submission of payroll, payroll taxes, 403(b) contributions and loan payments. Record vacation and sick leave hours for staff.  Maintain confidentiality of personnel information.

Manage software and submit automatic clearing house payments and direct deposits. 

Prepare and submit quarterly federal and state withholding and state unemployment reports.

Prepare and disburse annual W-2, 1099MISC, 1099R and 1098 forms and reports.

Process month end general journal entries including copying charges, postage, bank charges, overhead, depreciation, prepaid expenses, vacation/sick accrual, and grant entries.

Reconcile various accounts monthly, including grants, component funds, prepaid accounts, loan accounts, pledges and vacation/sick leave.  

Document moneys received, prepare cash receipts report, post receipts to ledger. Coding of all cash receipts appropriately including match funds and workshop attendance.

Monitor accounts receivable and accounts payable.

Prepare monthly list of payables for Board meeting and process checks for payment.

Work closely with Grants Services Associate in the processing of semi-monthly grant checks. 

Work closely with Administrative Assistant in the processing of Component Fund bills and gift receipts.

Maintain administrative, program, financial and payroll files according to foundation protocol as assigned.

Verify balances and reconcile monthly component fund reports for FundWeb component fund accuracy.

Update FundWeb weekly.

Maintain postage machine and ensure adequate postage balances are available for all accounts.

Monitor all printer meter reports.

Calculate and assess annual administrative fund fees and spendable allotments.

Assist Finance Director with preparation for yearly audit.

Prepare information for yearly and Workers Compensation Audit.

Maintain the Chart of Accounts.

Proof all new loan setups ensuring appropriate program prior to system entry.

Process Qgiv transactions including donations, workshop attendance and virtual terminal entries.

Assist Supervisor with FASB136 reporting.

Prepare annual payroll and accounts payable accruals.

Prepare and submit annual 403(b) Compliance Census Reporting.

Provide lending program support and backup when support staff is absent.

Serve as the backup for contacting both Bromelkamp, Marco and Paul Bunyan Communications

Make mail run to the post office at the end of the day; make deposits in appropriate bank accounts.    

Provide backup for answering phones and responding to requests from the public and staff.                                                                                                                      

Perform other duties as assigned to assure a smoothly functioning office.

Training and Experience Required


Minimum of two years post-secondary education/training in accounting.

Minimum of two years on-the-job computerized accounting systems experience.

Experience with computerized payroll software preferred.


Knowledge, Skills and Abilities Desired


Considerable knowledge of office principles, practices, procedures and equipment.

Considerable knowledge of business English, spelling and generally accepted accounting principles.

Considerable knowledge of computer procedures and operations.

Ability to communicate clearly and effectively, both orally and in writing.

Skilled in organizing work and prioritizing tasks.

Ability to function in a team relationship.
