Job Details
The Preventative Maintenance Planner and Scheduler (PMPS) is responsible for assisting with the development of reliability based on maintenance strategy, including preventative and predictive maintenance (PM). The PMPS works directly with maintenance team members to build a reliable program. The PMPS will assist Southern Minnesota Beet Sugar Cooperative to achieve its mission, vision, and business needs through (1) performing administrative responsibilities including data input and analysis and (2) ensuring preventative maintenance database integrity.
Essential Functions:
Planning Responsibilities
- Adds, maintains, and archives equipment records in Great Plains (GP) enterprise resource planning system, which includes recording attributes such as type, functional location, product and identification numbers, lock out tag out procedures, and other pertinent data to support repair analysis.
- Enters and maintains all PM plans to maximize equipment reliability.
- Enters PM plan in GP for each piece of equipment, including frequency, mechanic tasks, parts needed, tools needed, and safety, environmental, and quality procedures.
- Generates PM work orders; evaluates and reports on plans for future work (14 to 28-day cycle); releases and schedules PM work orders for maintenance crews and communicates plans to supervisors. Additional responsibilities include:
- Planning work and estimating labor by specialization (i.e.: mechanical, electrical); acquiring special equipment and/or permits as needed; identifying and reserving parts (or creating purchase requisitions) for parts and services; preparing job plans and work order packets for mechanics; and maintaining a task list library for reuse.
- Monitors and reports PM work completed to maintain equipment reliability to ensure compliance with regulations and audits; follows up with supervisors to drive accountability and successful project completion to meet deadlines.
- Seeks input from maintenance supervisors to continuously improve and adjust PM plans based on equipment and part performance/failure; monitors and analyzes part failure data to detect trends.
- Reviews work requests; collaborates with requestors; creates work orders.
Scheduling Responsibilities
- Communicates with operations and maintenance to validate work priority and equipment availability.
- Collaborates with supervisors to build weekly job schedule.
- Reviews backlog work that is ready to execute; works together with supervisors to identify timelines; holds crews accountable utilizing communication.
- Prepares weekly metrics and reporting.
Database Management
- Inputs, stores, and organizes data using consistent practices to ensure data integrity.
- Generates reports and trends; communicates results to team members.

- Knowledge of design techniques, tools, and principles involved in production of precision technical plans, blueprints, drawings, and models
- Knowledge of tools and machines, including their designs, uses, repair, and maintenance
- Demonstrated critical thinking skills
- Ability to gather information by observing, receiving and obtaining information from relevant sources
- Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems
- Ability to read, understand and interpret information and ideas presented through written sentences and paragraphs in work-related documents
- Excellent written and oral communication skills
- Ability to develop constructive and cooperative working relationships with internal and external audiences and maintain these relationships over time to advance the overall public image of SMBSC
- Ability to document information in a logical, sequential manner
- Ability to communicate with a variety of audiences with diverse backgrounds using oral and written communication as well as individual and group formats, including presentations to train and guide technicians and professionals
- Proficient in Microsoft Office
- Ability to import, export, sort, and analyze data in Microsoft Excel
- Ability to create and edit documents in Microsoft Word
- Familiarity and comfort using Microsoft Outlook
- Strong work ethic
- Ability to manage multiple priorities, produce excellent work results, and follow through on commitments
- Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness
- Ability to work overtime as required
Required Education and Experience:
- Three to five years’ experience in maintenance, manufacturing, or industrial-related work
- One to three years’ experience with computerized maintenance management systems preferred
