JOB SUMMARY

Responsible for processing medical records requests through prompt and courteous service in a fast-paced, high volume, customer focused environment. Answers and conducts business on the phone routinely while maintaining excellent customer service skills. Professionally handle requests and inquiries for patient health information submitted by mail, fax, phone, and in-person. Process requests in a timely and efficient manner within established timeline standards, maintaining quality and accuracy. Validate requests and authorizations according to established procedures. Ensure any issues that arise are resolved promptly, thoroughly, and courteously. Safeguard and protect the patients right to privacy by ensuring that only authorized individuals have access to the patients medical information. Maintain strict confidentiality of patient information in compliance with HIPAA and state and federal regulations. Able to interact effectively and demonstrate strong communication skills when dealing with all customers, including physicians, peers, patients, and external customers. Work comfortably with frequent interruptions. Able to multitask and handle multiple priorities. Work with a high level of accuracy. May perform other duties as assigned to support business needs. Escalate issues to supervisor for resolution as deemed necessary. Contribute to the achievement of established department goals and objectives and adhere to department policies, procedures, and quality standards. May perform other duties as assigned to support business needs.

POSITION RESPONSIBILITIES

The main focus of this position is customer service - both on with phone calls from customers/patients as well as helping our patients who present to our department requesting their medical records. Job duties will include working in our ROI Module in our EMR, processing of requests, and distribution of completed requests to get them properly packaged up and in the mail. Additional duties will be monitoring and sending out notification of fax failures that are sent through our EMR and sorting and entering our mail into the EMR.

DEPARTMENT DETAILS

Hours for this full time position will generally be 8:30am - 5:00pm, Monday - Friday.

QUALIFICATIONS

High school diploma or equivalent required. Associate's degree in Health Information Technology or other healthcare field preferred. A minimum of 1 year of customer service experience preferably in a health care setting, working with customers both in person and via phone required. Prior work experience in HIM Department related to record maintenance completion or release of information preferred. Ability to type a minimum of 35 words per minute.
