The IDP II assists the Materials Management staff to coordinate, direct, and control supply chain activities and assists the hospital IDP's in receiving and distribution of materials to the departments and all the hospital and hospital associates.


JOB RELATIONSHIPS:

A. REPORTS TO: Materials Manager

B. SUPERVISES: Assists with IDP coordination

C. INTERRELATIONSHIPS WITH: All departments within the hospital and out of hospital associates.


HOURS OF WORK: Monday through Friday, 8 hours per day per current department schedule. Occasional weekends as necessary.


DRESS CODE: Casual dress or scrubs and sturdy walking shoes. Dress should always be consistent with maintaining a professional appearance


ESSENTIAL REQUIREMENTS OF WORK (Minimum qualifications necessary to function at full productivity). A. EDUCATION AND TRAINING: High school diploma and (3) three years health care experience

minimum. Post-Secondary education preferred. B. EXPERIENCE: Hospital experience preferred, especially experience in supply chain functions. C. JOB KNOWLEDGE (Specific): Ability to do detailed work such as scheduling and record keeping.

Ability to communicate effectively with people. Knowledge of computer helpful. D. LANGUAGE SKILLS: Ability to read, analyze, and interpret procedures or utilize information

systems.


BUDGET: Employee must work to maintain inventory control and be conscientious of the costs of supplies.


CLIENTELE DIRECTLY AFFECTED BY JOB: All departments and entities associated with the hospital as well as providing supply information to outreach facilities.


PHYSICAL DEMANDS OF THE JOB: 1. Must be physically capable of performing all duties of the position. 2. Frequent standing or walking. 3. Repetitive and heavy lifting. Ability to lift, push, pull, bend and maneuver to unload and deliver product

of varying weights and sizes (up to 50 pounds) on a daily basis. 4. Reaching overhead, keyboarding, handheld device entry. 5. Use of a 2 wheel dolly or carts to move materials around the facility.


PHYSICAL ENVIRONMENT OF THE JOB: Work is performed in the lower level of the hospital under florescent lights in a lower than normal room temp., concrete floors (partial) and no windows to the outside.

EQUIPMENT OR MACHINES USED ON THE JOB: Telephone, MMIS and inventory handheld devices or tablets, computers, labeling machine, hydraulic jack, carts, dock lift, dock locks, freight elevator, Omnicell, copy machine and fax machine.


MENTAL DEMANDS OF THE JOB: A. JUDGEMENT AND INITIATIVE: Frequency - daily.

Complexity: It is necessary to be able to coordinate stock and non-stock supply information in order to provide the supplies needed in a timely fashion. Must be able to use apply knowledge to aid in determining appropriate supplies requested. Must be able to prioritize supply requests.

B. INDEPENDENT ACTION: Each IDP II has daily assignment and is expected to complete that task and assist with other tasks as needed.

C. EFFECT OF ERROR: Margin of error - minimal. Error could be potentially serious not only to the department but to the entire hospital.

D. CONTACT WITH OTHERS: All hospital departments and outside associates


PRINCIPAL JOB RESPONSIBILITIES, TASKS, AND AUTHORITIES:

A. RESPONSIBILITY Shipping, Receiving and Distribution of Supplies PRIORITY: A % OF TIME: 25% DISCRETION: A TASKS: 1. Handle the shipping, receiving and assist with the distribution of supplies for all Rice

departments and entities. 2. Provide assistance to delivery personnel as necessary. 3. Receive items delivered to the Rice and its departments and properly document receipt in the

MMIS. Provide detailed information regarding any discrepant items. 4. Investigate and follow up on discrepancies, backordered, or damaged shipments and

communicate return/reorder credit information on receiving notes. 5. Properly stage and secure product that will be picked up or delivered to off-site locations. 6. Deliver product to the General Stores inventory area or the appropriate department or location

based on the current delivery schedule or need. 7. Process outgoing shipments for Rice and its departments. 8. Assist Rice personnel with packaging of outgoing parcels. 9. Familiar with packaging requirements and delivery schedules for shipping vendors and

determine the best method for shipping. 10. At the direction of the MM, coordinates mission donations - distribution, packaging, shipping,

and recording activity 11. Maintain the loading dock and receiving area in a clean, safe, and secure manner.

B. RESPONSIBILITY: Inventory Control PRIORITY: A % OF TIME: 25% DISCRETION: A TASKS: 1. Enter daily inventory issues. 2. Develop requisitions and delivery schedules. 3. Create and revise order requisitions as needed based on par levels, utilization, minimum &

maximum supply levels, and special circumstances that may arise 4. Assist with the weekly inventory of supplies for placing orders with approved suppliers. 5. Assist with establishing bin locations and physical layout of inventory stock 6. Periodic checking of expiration dates on supplies. 7. Assist with maintenance of the Item Master. 8. Create and revise order requisitions as needed based on par levels, utilization, minimum &

maximum supply levels, and special circumstances that may arise 9. Receive distributed items on computer, stock shelves with supplies received, complete

necessary paperwork and deliver to appropriate departments as appropriate. 10. Prepare reports and analyze data from the MMIS to assist with establishing par levels, reorder

points, and usage.

11. Work with departments to maintain proper inventory in their areas and assist with product evaluations

12. Assist in the proper inventory levels for linens and scrubs 13. Oversee inventory maintenance through computer issues/credits, patient charges/credits,

physical inventory and cycle count adjustments.

C. RESPONSIBILITY: Materials Management Support PRIORITY: B % OF TIME: 20% DISCRETION: B TASKS: 1. Responsible for the completion of all other tasks and duties as assigned to assure proper

inventory and distribution of supplies. 2. Maintain a working knowledge of MMIS functions as required. 3. Daily filing of purchase orders and daily issue reports. 4. Assist with scheduling and planning of duties for General Stores employees when necessary. 5. Assist with maintenance of departmental policies and procedures to assure they are kept

current. 6. Able to perform all duties of IDP when staffing necessitates. 7. Assist with instruction of employees when on-the-job training is used. 8. Assist orientation of new personnel in General Stores 9. Assist with local deliveries and local purchase runs as necessary for Rice departments.
