JOB SUMMARY

Provides assistance with a variety of clerical duties within the department including data entry, mail distribution, copying, alphabetic and numeric sorting, retrieving of documents and charts, chart pick-up, and other general clerical tasks. Work assignments vary based on workload demands and shift assignment. Ability to use a wide variety of office equipment including copy and fax machines, telephone, and PC. Locates medical records upon user requests within the specified timeframes. Uses hospital specific software to determine record locations. Work extensively with protected health information and is required to adhere to HIPAA privacy and security regulations and policies related to same. Utilizes scanning functions to capture images of the original documents in the Sanford patient medical record and transfers them to the Electronic Medical Record (EMR). The accuracy and quality are essential as the EMR becomes the legal patient medical record for the organization. Utilizes designated database for patient records to index and validate scanned images. Database is a complete document management client-server application. Uses extensive knowledge of medical record forms and content to perform quality checks on the scanned, indexed and validated documents. Indexes forms that are not bar-coded by searching the database for correct document type. Communicates invalid forms and document types to leadership for inclusion in the database and/or reprinting of the form. Uses the scanning software independently and can perform maintenance as needed. Performs quality assurance activities on image prior to destruction of the original document for legal purposes.

QUALIFICATIONS

Prior experience in a health care setting preferred.
