  • Prepare and process invoices so vendors are paid for goods and services in a timely and accurate manner ensuring legality, budget availability and appropriate authorization for all purchases.  Reconcile vendor statements with payments and investigate any discrepancies; correspond with vendors to discuss concerns regarding invoices due, payments, taxes, copies of warrants, and electronic fund transaction questions so that all payments are accurate and posted according to department guidelines and good relations are maintained with vendors.
  • Conduct weekly inventory cycle counts using MnDOT’s random selection to create the counting event, create counting sheet, update counting event, and reconciliation report to meet District 4 annual inventory audit requirements.
  • Process payroll for selected departments.  Provide payroll functions to ensure employees are correctly paid in an accurate manner in accordance with procedures, policies, and collective bargaining agreements or plans.  Coordinate with others (supervisor, other payroll administrators) so there is consistent application of payroll processes and procedures.
  • Processes employee business expenses for selected departments.  Ensures payments to employees are accurate and expenses are posted timely to the correct budget and in accordance with state regulations and procedures, MnDOT policy, collective bargaining agreement and plans used by the State of Minnesota and generally accepted accounting principles and practices in MMB.
  • Backup receptionist at the district’s switchboard and front desk.

Minimum Qualifications:

  • Math sufficient to verify accounting transactions and reconcile vendor statements with payments.
  • Spreadsheets sufficient to perform calculations such as addition, subtraction and percentages.
  • Word processing skills sufficient to communicate with staff and vendors concerning payroll, business expenses and invoices.

 

During the interview, the following will also be assessed:

  • Customer service skills, both in person and over the phone sufficient to deal effectively with staff and vendors.
  • Ability to interpret and explain accounting and fiscal related policies, procedures and practices to staff and vendors.

 

Preferred Qualifications:

  • 2 or 4 year degree in Accounting
  • One year experience in Accounts Payable
  • Experience in SWIFT
  • Electronic Inter-Office Request (EIOR) experience sufficient to query and compile records and reports.
  • Previous bookkeeping or payroll experience sufficient to maintain complete and accurate records.
  • Minnesota Accounting and Procurement System (MAPS) experience sufficient to query and compile records and reports.
