Position Summary:

The Loan Documentation Specialist prepares loan documentation for all types of loans, including commercial, consumer, and residential real estate, and are responsible for understanding and following all regulatory requirements related to delivery of our loan products. Loan Documentation Specialists serve internal and external clients by answering questions, problem solving, and delivering loan documents and disclosures on time.



Essential Responsibilities:

Job Function Number 1: Loan Documentation Processing - 60%
  • Produce complete and accurate disclosure and closing documents for new and existing consumer and commercial loans within expected time frames.
  • Order required processing items; interpret and communicate results.
  • Fund loan disbursements by wire.
  • Manage specialized processes including force-placed insurance, escrow processing, compliance reporting.
  • Research requests in order to provide accurate documentation, partnering with team members or supervisor when necessary.
  • Assist internal clients with product/documentation process questions.
  • Troubleshoot and resolve client loan issues.
  • Ensure account compliance with regulations, policies and procedures.
  • Recognize product exceptions and collaborate with senior specialist or supervisor to resolve.
  • Develop and maintain positive working relationships with internal clients and external contacts by applying excellent verbal, written, and telephone communication skills.
  • Support specialized processes as assigned by the supervisor.

Job Function Number 2: Team Support - 25%
  • Provide primary and backup coverage on processes, as needed.
  • Provide one-on-one training on specialized processes to ensure adequate backup coverage.
  • Participate in team meetings.
  • Create, update, and maintain written procedures in R&R database.
  • Provide backup process support to team members, as required.
  • Assist with team, lending, or company-wide projects, as required.

Job Function Number 3: Department, System, and Industry Knowledge - 15%
  • Develop and maintain knowledge of loan servicing processes.
  • Basic understanding of loan product attributes.
  • Maintain up-to-date knowledge of all systems & process that pertain to the position.
  • Maintain compliance knowledge of required regulations.
  • Complete regulation, compliance, and addition training as assigned.

Qualifications:
  • Associate's degree or equivalent combination of education and/or related experience.
  • Proficiency in keyboarding and basic computer skills.
  • High level of commitment to accuracy and detail.
  • Demonstrated analytical and problem solving ability.
  • Excellent communication and client service skills.
  • Ability to work under pressure and meet time deadlines.
  • Ability to prioritize multiple tasks through effective time management and organizational skills.
  • Ability to work independently and in a team-oriented environment.
  • Ability to accept, support and implement continuous change.

Physical Demands: (must be met with or without a reasonable accommodation)
  • Extended periods of time sitting at a desk and using office equipment.
  • Ability to operate a personal computer/laptop for approximately 8 hours per day.
  • Extended time is spent reviewing physical and electronic documents.
  • The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision.
  • Periodically, may also do light lifting of supplies and materials which weighs in at approximately 20 lbs.
  • Will spend most of time in an indoor environment.
