(Internal/External)

CLOSING DATE: OPEN UNTIL FILLED

STARTING DATE: AS SOON AS POSSIBLE

COMPENSATION: $13+ per hour.

RESPONSIBILITIES:
Responsible for providing support services for the Payroll department.

This is a part-time, approximately 19 hours per week, position with flexible schedule/hours. Benefits are not available for this position.

DUTIES:
  1. Provides office support and assistance with payroll processes: entering data in HRMS, and other general payroll tasks, serving as backup to the Payroll Technician.
  2. Assists with scanning and/or verifying of records in Perceptive Content for the department.
  3. Assists the Payroll Technician, Payroll Accountant and other members of the HR/Payroll department with tasks, projects, etc. as needed.
  4. Provides backup support for answering telephones, greeting customers, responding to inquiries, reserving meeting rooms, completing facility requests, completing work orders, and providing information as needed.
  5. Completes various types of employee income verifications under the direction of the Payroll Technician.
  6. Assists in the preparation and disbursement of W-2 and 1095C forms for employees.
  7. Files I-9 forms and follows retention guidelines for identifying documents to be purged.
  8. Assists employees with reprinting W-2's, 1095C's, paystubs, etc. from HRMS Employee Self Service.
  9. Assists the Payroll Technician in new hire process including preparation of materials, scheduling appointments and copying I-9 documents.
  10. Runs PeopleSoft HRMS queries/reports as needed.
  11. Serves as backup to the Payroll Technician in providing general assistance on payroll issues for managers, supervisors and employees including the use of HRMS Self Service and Manager Self Service.
  12. Researches employee address changes throughout the year to ensure W-2 accuracy.
  13. Assists the Payroll Accountant in gathering budget and audit supporting documents.
  14. Assists in creating payroll processing procedure manuals for use in cross training.
  15. Performs general office support duties; copying, faxing, proofreading, filing, labels, letters, Core Portal updates, etc.
  16. Performs other duties as assigned or required.
QUALIFICATIONS:
Required:
  • Strong office support skills, and working knowledge of office procedures.
  • Excellent interpersonal skills, demonstrated positive customer service skills, and ability to relate to people of varying ages and backgrounds.
  • Good written communication skills.
  • Good organizational skills, accuracy and attention to detail.
  • Excellent computer software skills (i.e., Microsoft Word, Excel, Access, e-mail and electronic calendar, etc.), strong internet familiarity and excellent keyboarding skills.
  • Disciplined and able to maintain confidentiality.
Preferred:
  • More than two years of directly related work experience.
