Under direct and/or indirect supervision the IDP is responsible for receiving supplies into General Stores, maintaining inventory control and distributing supplies and linens to all hospital departments in the interest of quality patient care.


JOB RELATIONSHIPS:

A. REPORTS TO: Materials Manager B. SUPERVISES: None C. INTERRELATIONSHIPS WITH: All hospital personnel and out of hospital associates.


HOURS OF WORK: Monday through Friday, 8 hours per day Rotating weekends and holidays.


DRESS CODE: Casual dress or scrubs and sturdy walking shoes. Dress should always be consistent with maintaining a professional appearance


ESSENTIAL REQUIREMENTS OF WORK (Minimum qualifications necessary to function at full productivity).

A. EDUCATION AND TRAINING: High School Diploma B. EXPERIENCE: Hospital experience helpful but not necessary. C. JOB KNOWLEDGE (Specific): No previous storeroom experience necessary. Training will be

provided on the job, however, new employee must be able to complete detailed work and handle integrated situations, some of them stressful.

D. LANGUAGE SKILLS: Ability to read, analyze, and interpret procedures or utilize information systems.


BUDGET: Employee must work to maintain inventory control and be conscientious of the costs of supplies.


CLIENTELE DIRECTLY AFFECTED BY JOB: IDP's provide supplies and service to all hospital departments and staff. They also provide supplies and supply information to organizations and individuals in the surrounding area.


PHYSICAL DEMANDS OF THE JOB: 1. Must be physically capable of performing all duties of the position. 2. Frequent standing or walking. 3. Repetitive and heavy lifting. Ability to lift, push, pull, bend and maneuver to unload and deliver product

of varying weights and sizes (up to 50 pounds) on a daily basis.

4. Reaching overhead. 5. Keyboarding, tablet or handheld device entry. 6. Use of carts to move materials around the facility.


PHYSICAL ENVIRONMENT OF THE JOB: Storeroom environment consists of concrete/tile flooring, fluorescent lighting, cooler than average temperatures and no windows to the outside.


EQUIPMENT OR MACHINES USED ON THE JOB: Telephone, MMIS and inventory handheld devices or tablets, computers, labeling machine, hydraulic jack, carts, dock lift, dock locks, freight elevator, powered linen carts, Omnicell, copy machine and fax machine.


MENTAL DEMANDS OF THE JOB: A. JUDGEMENT AND INITIATIVE: Frequency: daily

Complexity: It is necessary to be able to coordinate stock and non-stock supply information (stock locations, levels, costs, vendors, delivery dates, back-orders, substitutions, stock usage, department usage, etc.) in order to provide the supplies needed in a timely fashion. Must be able to accomplish each individual assignment (example: linen distribution, Omnicell, supply carts and rooms, multiple unit supply orders, direct patient supply orders/credits, etc.). Must be able to use apply knowledge to aid in determining appropriate supplies requested. Must be able to prioritize supply requests.

B. INDEPENDENT ACTION: Each IDP has an individual assignment consisting of multiple duties daily to complete in a timely fashion so as to accomplish remaining duties necessary to fulfill the function of the department.

C. EFFECT OF ERROR: Improper handling of sterile supplies could result in the waste of single or multiple supplies due to supply or surgical suite contamination. Also, computer keying errors could result in errant ordering of costly supplies.

D. CONTACT WITH OTHERS: All hospital departments and outside associates.


PRINCIPAL JOB RESPONSIBILITIES, TASKS, AND AUTHORITIES:

A. RESPONSIBILITY: Exchange and Supply Carts

PRIORITY: A % OF TIME: 40% DISCRETION: A

TASKS: 1. Collects patient charges and kardexes from patient care areas. 2. Picks supplies indicated on kardexes and charge sheets. 3. Restocks supplies picked from kardexes and charge sheets to appropriate patient care areas. 4. Charges appropriate department from "wasted" or "used for stock" supplies used from system. 5. Replaced backordered items to hospital departments when received. 6. Checks supplies on nursing units according to posted schedule. 7. Maintains a supply of tagged items ready for exchange system use. 8. Checks supplies with expiration dates monthly for outdates. 9. Maintains patient confidentiality in dealing with patient information. 10. Checks and maintains supply levels on crash carts and procedure carts.

AUTHORITIES: Has the authority to schedule own time to complete assigned task in a responsible, accurate & timely manner. Has the authority to adjust exchange cart supply levels due to varied usage.

B. RESPONSIBILITY: Direct Patient Charges

PRIORITY: A % OF TIME: 10% DISCRETION: A

TASKS: 1. Checks fax machine routinely for patient or department orders. 2. Checks to be sure all charges have necessary information for patient charging. 3. Fills supply order and delivers to appropriate unit.

AUTHORITIES: Has the authority to schedule own time to complete tasks in a responsible accurate and timely manner.

C. RESPONSIBILITY: Requisitioning Department Chargeable Items

PRIORITY: A % OF TIME: 30% DISCRETION: A

TASKS: 1. Daily or weekly inventory, requisitioning and restocking of all stock supply items on nursing

units, according to posted schedule and current par levels. 2. Daily inventory, requisitioning and restocking of surgery's sterile corridor, scrub rooms and

stock supply areas. a. Inventory, requisitioning, and restocking of suture (stocked and non-stocked) and special

order catheters. b. Requisition all surgical supplies c. Staff to comply with mandatory surgical isolation precautions.

3. Daily inventory, requisitioning and restocking of Hemodialysis. a. Weekly inventory, requisitioning and restocking of extended supply areas in

Hemodialysis (water room, reuse room, pack room and positive unit). b. Recheck stock supply in pack room for weekend coverage. c. Maintain mandatory isolation precautions in positive unit and when in close proximity to

patients. 4. According to posted schedule and current par levels:

a. Inventory, requisitioning and restocking for Willmar Medical Services (Radiology and Willmar Cancer Center) stock supplies.

b. Inventory, requisitioning and restocking of Anesthesia and Emergency Room. c. Pick and delivery of Central Processing, Laboratory, Rice Institute IP/OP, Cardiac

Rehab, Occupational Therapy and Physical Therapy orders. d. Pick and delivery of forms orders for hospital departments. e. Inventory, requisitioning and restocking of infant formula on Women's and Children's. f. Pick and delivery of random Enterostomal Therapy supply orders.

AUTHORITIES: Has the authority to schedule own time to complete tasks in a timely manner. Has the authority to adjust order of supply requisition and change stock supply level due to usage changes and supply accessability.

D. RESPONSIBILITY: Linen Distribution

PRIORITY: A % OF TIME: 20% DISCRETION: A

1. Receive Linens from Hospital Laundry Service. 2. Stock linens in linen store room 3. Distribute clean linens throughout the facility according to current par levels and schedule.

4. Distribute clean scrubs to designated areas. 5. Restock carts with clean linen for following day. 6. Monitors levels and usage, and communicates changes to maintain manageable duties. 7. Perform in a mature manner while accessing each area (such as opposite sex locker room).

AUTHORITIES: Has the authority to schedule own time to complete assigned task in a responsible, accurate and timely manner. Has the authority to contact proper personnel to manage accurate par levels and responsibilities.

E. RESPONSIBILITY: General Duties:

PRIORITY: A % OF TIME: 10% DISCRETION: A

TASKS: 1. Maintains current knowledge of disaster plan procedures and completes procedures as

needed. 2. Assists with proper storage of supplies. 3. Assists with maintaining accurate locator system. 4. Package supplies needed for staff or patient use. 5. Works independently and in coordination with all staff to accomplish required tasks in a timely

fashion. 6. Responsible for completing bi-weekly and bi-annual inventories. 7. Maintains knowledge of current supply information and keeps on file manufacturer information

sheets for staff reference. 8. Assists with determining and setting appropriate stock levels 9. Checks expiration dates of supplies on a monthly basis. 10. Assists with receiving

a. Assists with tearing down of supply pallets and unpacking of supply shipment. b. Check in supplies received against invoice and purchase order. c. Accurately stores supplies according to locator system

11. Maintains necessary records for inventory control. 12. Responsible for acquiring patient information needed for patient charges received without

patient information stamped on. 13. Assists with reorganization of supply areas for increased efficiency and supply access. 14. Replaces crash cart supplies as soon as possible after a Medical Team and processes patient

charges. 15. Maintains a supply name cross reference. 16. Uses access to current supply information files for advising Nursing staff of costs to promote

patient cost effectiveness. 17. Responsible for orienting staff members to new procedures. 18. Assists with erecting carts and shelving for supply storage.

AUTHORITIES: Has the authority to schedule own time to complete tasks in a responsible, accurate and timely manner. Has the authority to request stock supply orders due to changes in usage.

F. RESPONSIBILITY: Continuous Quality Improvement
