JOB SUMMARY
Responsible for the creation of financial comparisons and for performing contract assignments in support of contract activity, or in the audit/review of that activity, to include building and maintaining contract documentation, assistance with contract renewals, extensions, terminations and contract reporting. Monitor contract and supplier performance, as well as internal contract compliance. Present factual information, compose memoranda and reports and supporting documents. Present information to stakeholders and committees as needed to ensure stakeholders know of and benefit from contracted terms. Maintain accurate contract pricing within the Enterprise Resource Planning (ERP) system, investigate pricing discrepancies and product inquiries with vendors, and participate in value analysis activities. Must adhere to federal and state laws and regulations pertaining to contracting and procurement of equipment, supplies and services. Work closely with the grants and legal teams for federal grant requirements. Plan and implement recurring work using established procedures, conferring with the supervisors as necessary on technical problems. May work with contract renewals and extensions or be required to participate in clinical engagement.
POSITION RESPONSIBILITIES
Research and evaluate suppliers, based on price, quality, selection, service, support, availability, reliability, production and distribution capabilities, and the supplier's reputation and history. Assists in evaluating specific pricing and delivery alternatives while analyzing benefits and drawbacks of each.
Analyze price proposals, financial reports, and other data and information to determine reasonable prices. Maintains files of relevant information for specific customers, vendors, or contracts. Maintain knowledge of all organizational and governmental rules affecting purchases, and provide information about these rules to organization staff members and to vendors. Evaluate and monitor contract performance to ensure compliance with contractual obligations and to determine need for changes. Reviews contracts to ensure compliance with contract specifications and regulations.
Ensures proper protection of organization's confidential information. Develops and uses checklists to insure that information goes out error-free. Communicates effectively with diverse audiences, using appropriate media and language.
Represents the organization in a professional manner.
DEPARTMENT DETAILS
Maintains accurate contract pricing and contract documentation. Ensure that file and audit trails are maintained in accordance with policies and procedures. Works professionally and communicates appropriately with all levels both externally and internally. Maintain standard processes.
QUALIFICATIONS
Bachelor's degree in a related field required. Minimum of two years experience in supply chain, contract preparation and/or administration required. Proficiency in Microsoft Excel also required.
