POSITION SUMMARY

This position is responsible to verify and keep records on incoming and outgoing shipments and provide administrative support to the Materials department to maximize the efficiency of the department. Maintenance of inventory while adhering to department procedures for the Shooting Star Casinos.  In all interactions, the position is responsible for making STAR service to guests and fellow team members a first priority.


DUTIES & RESPONSIBILITIES           

Provides exceptional, STAR Service to ensure overall guest satisfaction.
 

    Performs the steps of STAR Service, which include…

    Smile and Greet
    Take Care of Needs
    Anticipate, Ask and Act
    Remember to Thank and Close

    Performs the position-specific STAR service expectations, as outlined by the department. 

Listens and responds to guest concerns to maintain a high level of guest satisfaction.

    Refers guests to the appropriate department or function for issue resolution

Prepares purchase orders by compiling necessary information to assure policies and procedures  are followed

    Review requests for accuracy and proper authorization.
    Obtain competitive bid quotations from suppliers
    Tabulate and analyze bids to ensure lowest and best pricing.
     Compile and review scheduled re-order reports to assure par levels.
     Monitors and updates data in the inventory system to assure accuracy.
     Ensure timely ordering of inventoried and non-inventoried items.
     Ensure the strictest of confidentiality at all times.

To ensure the best possible prices are researched along with maintaining quality of product.

    Uses catalogs, internet and phone conversations with suppliers to obtain prices and specifications per established bidding procedures.
     Investigate and evaluate new sources of supplies.
     Comparison studies and collects data on current market conditions.
     Offers supplier recommendations.

     Ensure all goods and services ordered through the materials department are delivered in good   condition and in a timely manner.

    Reviews open purchase orders and directs expediting.
    Schedules delivery dates and follows up on delayed deliveries and back orders.
    Communicates with receiving, warehouse staff and accounts payable to ensure accuracy and proper distribution of items and expenses.

Works closely in conjunction with respective departments to assure proper purchasing/inventory practices and inventory levels are maintained.

    Attends all relevant planning sessions to be proactive toward appropriate purchases.
    Provides prompt and courteous customer service by listening to and answering a variety of questions and complaints from departmental requestors.

Maintains Inventory items to assure accuracy and quality standards are maintained.

    Conducts physical inventory counts of inventory items.
    Records all inventory transactions.
    Assures proper quantities are recorded.
    Identifies outdated and/or spoiled/damaged goods.
    Maintains bins with established labeling procedures.

Reviews and enters receiving documents into computer system to ensure accurate billing and accountability of goods received.

    Assure proper documentation is obtained.
    Creates documents to receive keep fill items.
    Routes complete paper work to Accounts Payable.

Enters data into the inventory computer system to maintain reorder points.

    Enters feedback from picking lists.
    Inquires about item information such as stock on hand.
    Credits inventory when items are returned.

Performs other duties and responsibilities as required or assigned.

 
Minimum Requirements
 

EDUCATION & EXPERIENCE

Post High School degree (ex. Associates Degree, Vo-Tech or Business School) preferred or

High School Graduate/GED with two years minimum of similar or related work experience in buying or merchandising which may include courses in bookkeeping or business practices or

Any equivalent combination of education, training and related work experience.

Certificates, Licenses & Designations

Must meet licensing requirements as prescribed by the Tribal State Compact for Gaming.

KNOWLEDGE, SKILLS & ABILITIES

    Knowledge of and ability to apply internal gaming controls.

    Knowledge of and skill in using a personal computer and related software including but not limited to Outlook, Word, Excel, and other procurement software.

    Knowledge of purchasing policies and procedures, laws, rules and regulations as applicable.
    Knowledge of grades, qualities, supply sources and marketing factors affecting supplies
    Ability to obtain and interpret market prices and trends applicable to procurement problems.
    Ability to establish and maintain effective working relationships as required by work assignments.
    Skill of office methods, equipment and practices.
    Able to write reports and business correspondence.
    Able to present information and respond to questions from groups of managers, clients, customers and general public.
    Ability to read, analyze and interpret general business periodicals.
    Ability to understand, follow and carry out oral and written communications.
    Ability to make mathematical computations.
    Ability to establish and maintain satisfactory working relationships with suppliers and department officials and the general public.
    Ability to operate personal computer, related purchasing software systems and general office equipment.
    Knowledge of purchasing arena, inventory system and accounting principles.

WORKING CONDITIONS

    Work is normally performed in an office setting where noise level is moderate.  Work may also be performed in inventory storage areas where the associate may be exposed to moving mechanical parts, fumes or airborne particles, toxic or caustic chemicals, hot/cold temperatures and loud noises.

  • *Shift differential of additional $1.25/hr for swing and night shift and an additional weekend differential of $1.25/hr. Requirements based on position. Available for hours worked after a team member completes their 90-day probationary time frame.
