POSITION SUMMARY

Under the direct supervision of the Facilities Manager will organize and assist in duties directly related to the Facilities Department for overall office function.  Includes some indirect support to the Director of non-gaming and includes support to a variety of skilled technical supervisory staff. In all interactions, the position is responsible for making STAR service to guests and fellow team members a first priority.

DUTIES & RESPONSIBILITIES

  • Performs the position-specific STAR service expectations, as outlined by the department.                            

Provides administrative office support to the Facilities Manager and all department associates.

  • Composes and types memo’s, letters, and reports, by complying, reviewing, and checking documentation. 
  • Answers telephone and takes messages to route information to appropriate personnel.
  • Maintains filing system to allow for quick and accurate retrieval.
  • Maintains, requisition, and distributes office supplies for the various facilities department locations.

Maintains time verification Kronos system for department associates and coordinates reporting procedures with the payroll department.

  • Process daily associates time clock hours against sign in/out sheet. Identifies, investigates and resolves variances.
  • Enters and maintains associate schedules in the Kronos time system.
  • Provides all scheduling and changes to supervisors, associates, and surveillance department.
  • Provides schedules to associates for any up coming training.

Maintains Department databases to ensure accurate processing of a variety of statistical analysis and processing of reports to appropriate staff.

  • Compile data from a variety of sources, organize into logical sequence, create database and/or spreadsheet, and enter data to create a reporting method for the department.  Some requirements based on legal or licensing regulations.
  • Enter budget updates into Department spreadsheet to ensure management has accurate and easy access to information in a timely manner.
  • Track a variety of information on spreadsheets, including star graduate coupons for department associates.  Works in conjunction with department supervisors to ensure accurate processing of star graduate and other incentive status.

Coordinates and prepares schedules for the manager and supervisory team to facilitate communications.

  • Attends meetings.
  • Prepare and route meeting minutes to appropriate personnel.
  • Gathers and compiles information for a variety of reports and data.  Distributes reports to appropriate personnel in a timely and accurate manner.

Listens and responds to guest concerns to maintain a high level of guest satisfaction.

  • Assists guests person to person, or via telephone or e-mail.
  • Maintains good relationships with other departments.
  • Listens to guests questions and/or comments and provides information as needed.
  • Applies problem-solving techniques as necessary.

Performs other duties and responsibilities as required or assigned. Maintain the strictest confidentiality at all times.

Minimum Requirements

EDUCATION & EXPERIENCE

Post high school degree such as Associates Degree, Vocational Degree or Business School.May accept two years of work experience with appropriate documentation to support skill set required.Must meet license requirements as prescribed by the Tribal/State Compact for Gaming

  • *Shift differential of additional $1.25/hr for swing and night shift and an additional weekend differential of $1.25/hr. Requirements based on position. Available for hours worked after a team member completes their 90-day probationary time frame.
