The person hired for the position of Aviation Scheduler will be responsible for supporting operations by handling a wide variety of coordination / administrative duties for 3M’s Corporate Aviation team. The successful candidate will act independently utilizing standard procedures and handle non-routine situations through interpretation of aviation guidelines and administrative practices. The individual will seek supervision as needed for direction and approvals and must demonstrate a high level of attention to detail. The Aviation Scheduler will have regular interaction with corporate management and their assistants, therefore, advanced verbal and written communication skills, as well as strong interpersonal skills are required.

This position provides an opportunity to transition from other private, public, government or military environments to a 3M career.

Primary Responsibilities include but are not limited to the following:

  • Domestic trip scheduling and manifesting
  • International trip scheduling and manifesting
  • Obtaining and tracking passports and visas for international travelers
  • Coordinating US Customs inspections for international aircraft arrivals
  • Aviation flight management system data entry and coordination for aircrew and passengers
  • Assistance with project coordination as required
  • Assistance with aircraft catering as required
  • Serve as resource person interacting with corporate executive assistants, providing interpretation and individual application for standard aviation departmental/divisional policies, procedures, guidelines, and practices, influencing adherence to and enforcement of policies
  • Maintains highly sensitive and confidential information
  • Able to prepare written materials including correspondence and visual presentation materials as requested
  • Acts independently to administer and communicate corporate aviation policies and procedures, handling uncommon situations through interpretations of office guidelines and administrative practices
  • Proficiency with Microsoft Office Suite, including Word, Excel and PowerPoint

Basic Qualifications:

  • High School Diploma/GED from an accredited institution (completed and verified prior to start) from an accredited institution
  • Minimum of three (3) years of combined experience in an administrative assistant function, secretarial and/or clerical role in a private, public, government or military environment

Preferred Qualifications:

  • Bachelor’s Degree or higher
  • Minimum of three (3) years of experience using MS Office software to include Outlook, Word, Excel, and PowerPoint
  • Proficiency with Microsoft Office Suite, including Word, Excel and PowerPoint
  • Minimum of three (3) years of experience in corporate, commercial, or military aviation
  • Broad knowledge of computer programs (software or mainframe) and knowledge of administration programs related to aviation or dispatching
  • Strong time management & organizational skills to handle various duties and ability to complete them in an accurate and timely manner
  • Effective verbal and written communication skills
  • Excellent coordinating skills
  • Strong and positive interpersonal skills with all internal personnel and external customers.
  • Knowledge of corporate systems relevant to the assignment
  • Good self-starter skills
