Accra is a non-profit organization offering the best in personalized, self-directed home care. Accra provides employee, client, and billing services for various programs including Personal Care Assistance (PCA) Choice, Fiscal Support Entity (FSE) and Home Health Agencies. We are located in Hopkins and offer services in all of Minnesota’s 87 counties, with offices in Hopkins, Alexandria, Red Wing, Fergus Falls, Moorhead, Lake City, Duluth, Grand Rapids, Bemidji, and Brainerd. Accra is seeking ad Administrative Support Associate to join our Red Wing team.

Summary
Performs administrative duties and coordinates workload/assignments of other administrative support positions as required for home care program operations. Works under the direction of Red Wing RN Nurse Manager and Supervisor.

Essential Functions
Duties would include but not limited to:

  • Administrative support operations and procedures sustaining high levels of operational efficiency, communication, and team collaboration:
    • a. Organize and streamline office procedures, internal communications, inventory control, and records
    • b. Provide prompt technical assistance to staff on hardware/software, network connectivity, telecommunications, etc. needs and issues.
    • c. Identify/implement procedures, communications, tools to strengthen agency procedures, daily operations, and staff performance.
  • 2. Administrative support tasks required by the agency programs, operational, regulatory, and payer compliance activities as directed by the RN Nurse Manager or designee including:
    • a. Assist with agency personnel records and Human Resource requirements.
    • b. Assist with monitoring and assuring accuracy and completeness of medical records as needed for licensure, service delivery, and payment.
    • c. Assist with coordination and administrative support for Emergency Preparedness Program, Quality Assurance, Safety/Risk Management, and Infection Control as assigned.
    • d. Assist with maintaining policy and procedure documents.
    • e. Support staff during regulatory surveys and/or audits.
    • f. Assist with the coordination and maintenance of operational manuals and documents.
    • g. Assist intake staff with the initial entry of “medications” to electronic health record.
    • h. Maintain office and medical supply ordering; facilities management
    • i. Coordinate scheduling of home health aide staff

Qualifications

  • High school diploma
  • Preferred minimum of 1-year experience with administrative/office coordination duties
  • Applicable administrative experience or vocational/technical training to support high levels of operational efficiency, communication, and team collaboration
  • Knowledge of essential administrative support functions, systems, procedures, and office coordination duties
  • Excellent organization and time management skills with ability to multi-task and prioritize work
  • Excellent critical thinking and problem-solving skills
  • Excellent written and verbal communication skills
  • Independent worker with proven ability to take initiative, problem solve, and complete tasks with limited supervision
  • Proficiency with basic computer and Accra systems (e.g. MS Office; Electronic Health Record) and Zoom or other teleconferencing tools.
  • Effective customer service experience and skills
  • Ability to strengthen agency procedures and daily operations
