Job Summary
The Talent Acquisition Specialist is responsible for facilitating the logistics of the full recruiting process to foster an exceptional experience for candidates and hiring leaders. The Talent Acquisition Specialist partners with the department to ensure job postings, interview schedules, candidate tracking, post-offer and orientation process is completed timely and accurately. In addition, this position provides on-going support to the other areas within the Human Resource division and provides various levels of support that align to business needs and strategic goals.

The Talent Acquisition Specialist is responsible for facilitating the logistics of the full recruiting process to foster an exceptional experience for candidates and hiring leaders. The Talent Acquisition Specialist partners with the department to ensure job postings, interview schedules, candidate tracking, post-offer and orientation process is completed timely and accurately. In addition, this position provides on-going support to the other areas within the Human Resource division and provides various levels of support that align to business needs and strategic goals.
Essential Functions
- Coordinates the logistics of all recruiting activities to include scheduling of interviews, booking of rooms with scheduling applications, assembling interview packets, creating and maintaining the interview questions database and Predictive Index (PI) packets. Maintains HR documents for team along with communicating and assisting hiring leaders with opening a job requisition when needed to ensure a seamless experience occurs for all stakeholders.
- Maintains data integrity in the Human Resource Information System (HRIS) by ensuring all candidate information, new hire paperwork, and job requisitions are effectively and accurately tracked and keyed. Assists and reconciles headcount/workforce reports, tracks, and performs regular audits of recruit data.
- Coordinates schedules and logistics for assigned events such as, orientation, career fairs, college marketing, and other hiring events. Ensures the effective communication to all appropriate stakeholders regarding special events and initiatives.
- Coordinates multiple third-party program platforms such as social media, job boards, career center sites, etc.
- Provides administrative support for the coordination for internships, uploads all interview/ratings notes into HRIS system and ensures job descriptions are vetted, completed, and filed appropriately. Sets up all new job templates in systems.
- Handles office supply and recruiting material inventory. Requests purchase orders, orders materials and tracks receipt(s), agreement renewals and Return on Investment (ROI) tracking for recruitment tools. Coordinates invoice payment and invoice problem resolution. Ensures miscellaneous payment requests are processed correctly and in a timely manner.
- Provides on-going and consistent support to all areas of the division as needed. Provides interview training for new interviewers. Acts as learning module and records retention coordinator for the team.
- Takes on recruiting activities for overflow entry-level positions with guidance of team members.
