Minimum Hiring Salary/Position Classification:  $33,000/Annual, Full-Time, Benefited, Non-Exempt
Benefits: Includes single or family health care coverage (premiums paid for by the university), basic life insurance, EAP, retirement plan, tuition waiver, annual and sick leave.  Optional benefits available: supplemental life, dental, vision, flexible spending account, supplemental retirement plans.
Work Schedule:  Monday-Friday, 8:00 am-4:30 pm

Position Details:

  • Assist team members with the coordination and implementation of creative, effective and efficient branding, recruitment and retention campaigns from the development stage to the final evaluation. 
  • Assist with researching new trends, marketing technologies and target audiences to help team members determine effective marketing strategies and tactics. 
  • Assist with the coordination necessary to develop, produce and distribute traditional and digital communications, including printed publications, direct mail, signage, websites, emails, videos, texting, social media, etc.
  • Communicate with various campus administrative offices and outside vendors to manage printing, direct mail and promotional item projects. 
  • Request and manage mailing lists, set up files for merging, and execute direct mail and email campaigns. 
  • Follow UND Procurement policies to research, write specifications and order printed publications and promotional items from Duplicating Services and commercial vendors. 
  • Assist with writing and / or proofreading a variety of traditional and digital communications and provide input for enhanced clarity and/or creativity in messaging. 
  • Assist with updating and maintaining multiple UND websites, including but not limited to the academic program finder pages designed for the recruitment of prospective students. 
  • Assist with fact-checking various UND statistics and rankings used in marketing communications. 
  • Assist with coordinating photo / video shoots with other departments and outside vendors as requested. 
  • Learn to effectively and efficiently use digital communication technologies as required, including OmniUpdate, TargetX CRM, Word Press, Mail Poet, TextMarks, FourWinds, and social media platforms. 
  • Manage the central UND digital sign feed for campus submissions.
  • Serve as back-up to manage and maintain the UND events calendar. 
  • Follow UND Identity Guidelines and Brand Standards for design and writing. 
  • Maintain lists of print, promotional and advertising media vendors. 
  • Serve as a project manager and main point of contact for assigned portfolio of clients as requested by the Associate Director, including:
    o In-take project requests in timely manner.
    o Build project plans in project management system with project details, assignments and timelines.
    o Manage workflow processes using established project management systems and protocols.
    o Provide status updates to clients and MCS team members, making sure to keep both parties are well-informed of projects’ goals, expectations, timelines and deliverables.
    o Communicate frequently (daily if necessary) with MCS team members and clients to provide the highest quality of customer service.
    o Work with clients to obtain content, feedback and approval of marketing projects.
    o Complete all assigned projects in an efficient, effective and timely manner.
  • Schedule meetings as requested by other team members. 
  • Co-manage the meeting room calendars for the Division of Marketing & Communications. 
  • Create agendas, take meeting minutes and provide administrative support to committee work as requested. 
  • Answer the department’s main phone line and email account by providing the highest quality customer service. 
  • Organize the team’s electronic files by providing a recommended file management structure for the shared drive network, implementing the changes and annually purging old files according to record retention policies.

  • Oversee the team’s project management system and protocol, including researching systems, providing a recommended structure and protocol, and implementing changes. 
  • Manage the range of required procurement and legal processes to work with external vendors, including Request for Proposals (RPFs), bid specifications and contract awards. 
  • Assist the campus photographers with headshot days. 
  • Order, organize and manage office equipment, inventory and supplies. 
  • Coordinate with Duplicating Services and Campus Postal Services. 
  • Assist with various logistical and office management projects, such as scheduling video/photo shoots and running errands. 
  • Provide suggestions for enhanced communication, workflow or other processes that increase efficiencies, productivity, effectiveness and/or client satisfaction.
  • Support the workplace culture of the Office, Division and University by demonstrating the professional conduct and values expected of all employees. 
  • Contribute to an optimistic and enthusiastic workplace that challenges and energizes staff. 
  • Communicate regularly and effectively with all members of the MCS team. 
  • Attend and actively participate in staff meetings, retreats, planning sessions, trainings, and other meetings/events as required.
  • Update Performance Management Plan in a timely manner and provide ongoing feedback to supervisor. 
  • Assist with implementing policies and processes to improve teamwork, communication, workflow and the execution of the team’s marketing efforts. 
  • Participate in at least one undergraduate or graduate recruitment event per year. 
  • Be forward thinking and explore new opportunities for growth and improvement; continually improve and advance through professional development and continuing education. 
  • Complete annual professional development goals by attending workshops, listening to webinars, reading best practices or other opportunities as they relate to administrative skills, project management and higher education marketing. 
  • Complete other duties as assigned.

Required Competencies:

  • Demonstrated ability to market programs and events, with a preference for experience in marketing educational or service-oriented programs. 
  • Demonstrated knowledge and experience working across diverse mediums, including print, electronic, social networking, video and other emerging media. 
  • Demonstrated ability to develop and execute integrated marketing plans.

Minimum Requirements
:

  • Bachelor’s degree in marketing, communications, advertising, management or business OR Associate’s degree in marketing, communications, advertising, business, management with one (1) year directly related experience. 
  • Strong project management experience in creating project plans with concise, executable timelines and measurable results. 
  • Strong written communication skills, including writing marketing copy for the media, print and/or the Web. 
  • Intermediate to advanced computer experience in Microsoft PowerPoint, Excel, Word, Outlook), Internet, email and Web research.
  • Successful completion of Criminal History Background Check.

Preferred Qualifications:

  • Bachelor’s degree and one (1) year of proven experience in an administrative, business, marketing, communications, project management or advertising position. 
  • Experience in market research techniques. 
  • Experience in developing and managing a marketing budget. 
  • Experience using a project management software, such as Asana. 
  • Experience in working with direct mail and commercial vendors, including bid specifications, mailing list management, and print production. 
  • Experience using a website content management system, such as OmniUpdate. 
  • Experience with higher education marketing trends, strategies and tactics.
