Overview
Full-time, benefited position working 72-80 hours per two week pay period. Days of work are variable Monday - Friday with hours from 8:00am - 4:30pm.
Under the supervision of the Rehab Manager delegate, assists in planning, organizing implementing, and evaluating the activities occurring in the Rehab Department, especially the office by performing clerical, receptionist, and aide duties and maintaining the physical environment of the area.

Work requires high school plus six months to a year of technical training in typing, word processing and record keeping.
Previous work experience at least six months to one year as secretary required; time to reach competency on the job here - three months.

Responsibilities
- Acts as a receptionist by screening telephone calls and visitors for the Manager and Rehab department staff, routing calls and messages appropriately.
- Assists patients and visitors in the Rehab Department as needed.
- Prepares and keeps current all forms and delivers them to the proper department as necessary.
- Performs clerical duties related to the admission and discharge of patients. Keeps up-to-date records related to Insurance, Workers Compensation, Medicare, and Medicaid patients. Updates databases and scheduling.
- Responsible for compiling data for Quality Assurance Reports year end reports, end of month reports and stats.
- Takes referrals, schedules patients, compiles new charts, maintains current charts/records and enters patient information in the EMR.
- Assists in orientation of new staff to clerical duties of the department, trains aides and all office staff (including admissions staff) to Rehab department. Develops and maintains updates for orientation manuals.
- Assists the Rehab Manager in coordinating the staffing schedule. Arranges meetings and appointments for Rehab manager and other scheduling duties; keeps Manager informed of activities and refers problem situations to Manager for resolution.
- Monitors workflow and scheduling to improve efficiency and quality of work performed by department employees, prepares month end stats for manager review.
- Assists departmental tasks (maintenance, cleaning, stocking, clerical, etc.) performed also by admissions and rehab aide.
- Transcribes dictation of minutes and correspondence, memos, etc.
- Performs layout of specialized forms that may be utilized in the medical record or distributed to patients
- Assists manager with maintaining policies and procedures and record keeping systems for the department as required by JCAHO.
- Oversees preparations for in-services, orientation of employees, and skills checklists.
- Sorts, opens, review, and distribute mail; responds to routing inquiries; coordinates incoming mail distribution for the hospital.
- Performs a wide variety of typing assignments in a word processing system (minutes, forms, policies)
- Gathers data and other necessary information for admission of patients and enters into hospital systems, runs reports and assists manager in statistics.
- Assists in performing review of medical records for completion using established standards of practice.
- Assists with review of charges and billing of Rehab & audiology, comparing to Therapists notes and correcting and obtaining any additional information that maybe required. Performs computer processing of insurance claims. Assists business office in correcting billing and insurance errors.
- Types a variety of statistical and administrative reports, statements for Audiology and rehab. (monthly, quarterly, yearly)
- Performs clerical functions including record keeping, stats and filing. Classifies, sorts, and files correspondence, records, and other documents.
- Records and receives durable medical equipment loaned items and maintains documentation of same.
- Completes discharges of charts, sends notes, orders, and evals to physicians for signatures.
- Assists Audiologist in hearing aide repairs, warranty repairs, cleaning and checking hearing aids, tube replacements, battery orders, non-stock orders, and open houses.
- Sends monthly flyers and newborn forms for Audiology and Speech Therapy departments.
- May assist manager with time and attendance edits for dept.
- Phones insurance companies for authorization, requests, and appeals.
- Enter insurance information in EPIC referrals. Enter occurrence codes into EPIC.
- Get charts ready for therapists for new clients and for next day.
- Performs other related duties as assigned or requested.
