OPERATIONS MANAGER
The Barn Theatre

Accepting applications for an Operations Manager

This is a full time position with a wage range if $18-20 per hour, depending on education, knowledge and experience.

Accountable to: Board of Directors
Status: Exempt

Operations Manager is responsible for the operations and management of activities at The Barn Theatre. This person is the primary public representative for the Barn Theatre.

Minimum Requirements:
2 years of management experience (non-profit sector preferred) and/or
AA or AS degree in an arts or business field
Strong oral and written communication skills
Ability to work independently with minimal supervision
Competency in office management software as supplied

Essential functions and responsibilities: The Operations Manager is responsible for the promotion of the theatre and its activities in the community with the goal of increasing ticket sales, donations and volunteer participation.

Marketing:

1. Work with Marketing Committee to develop a marketing plan

2. Prepare and maintain a calendar of marketing events and deadlines

3. Arrange and manage media campaigns and/or relations following Barn Theatre's marketing plan to include:
a. Schools, businesses and community organizations

4. Purchase, prepare and distribute all print, voice, video and electronic media materials including:
a. Season ticket brochure
b. Website & social media
c. Print, radio and television advertising
d. Electronic & print newsletters
e. Audition notices
f. Window displays
g. Prepare show programs
h. Other items as assigned by the Board of Directors

Productions:
1. Set production dates and maintain organizational calendar, including Hayloft Players
2. Obtain rights for all productions
3. Prepare and secure contracts and arrange payment for royalties
4. Order scripts and musical scores
5. Recruit, select and contract for all production personnel and directors following budget guidelines
6. Provide supervisory and organizational support for productions
7. Arrange for auditions; advertise location
8. Arrange for rehearsal and performance accompanists
9. Secure alternate rehearsal space as necessary
10. Arrange for the opening night reception for each production
11. Arrange for set strike
12. Arrange for purchase of all production supplies
13. Welcome cast and crew of each show and discuss theatre policy with them

Volunteers:

1. Develop and promote volunteer opportunities within the organization
2. Maintain volunteer service descriptions for each volunteer assignment
3. Conduct and arrange volunteer orientation and training
4. Ensure volunteers are staffed to support productions including:
a. Ushers b. Concessions c. Evening box office d. House manager e. Other positions as needed

Financial:
1. Assist with budget planning
2. Oversee finance activities in conjunction with the Treasurer and Business/Box Office Manager
a. Determines validity of invoices; communicating with vendors if needed
3. Prepare budgets for production costs
4. Deliver deposits to the bank
5. Seek underwriters for the productions

Administrative:
1. Human Resources:
a. Enforce written policies and procedures b. Maintain organization files
2. Supervise the Business/Box Office Manager including:
a. Creating work schedule, approving time off and assigning tasks b. Review time cards and expense sheets
3. Maintain office equipment
4. Maintain an organizational database of Stakeholders
5. Arrange and supervise cleaning and maintenance services
6. Supervise the rental of the theatre to outside interests
7. Supervise the rental of costumes 8. Answer phones, email and mail on behalf of the organization

Board and Committees:
1. Prepare monthly report to the Board of Directors
2. Attend Executive & Finance committee meetings, as well as Board of Directors meetings (non-voting)
3. Present annual production plan for board input and approval (working with Play Reading Committee)
4. Participate in standing committees as assigned
5. Other duties as assigned
