Position Description:
The Graduate School is seeking a dynamic individual to become an integral part of our team and to serve our mission. This position is responsible for front-line customer service and communication to prospective and current graduate students, staff, and faculty regarding graduate policies, procedures, and services. This role also provides reception, administrative, and admission support for the office.
Duties include, but are not limited to, the following:

• Greet and provide exceptional customer service to students, faculty, staff, and visitors - in-person, on the phone, and via email
• Address and/or direct inquiries regarding graduate policies and procedures to appropriate staff within the office and to other university staff and faculty
• Monitor Graduate School email account
• Maintain a broad knowledge and understanding of graduate policies, procedures, programs, and functions in order to effectively serve our internal and external customers as their first point of contact
• Answer and/or forward prospective student and applicant inquiries - in-person, on the phone, and via email
• Assist with other admission processes as needed
• Provide administrative support to the Assistant Dean
• Make travel arrangements for Assistant Dean and recruitment staff
•Process all graduate assistantship contracts
•Process HR/Payroll forms and graduate tuition waivers for the College of Engineering
• Receive and record payments of application, graduation, and disquisition fees
• Upload and record Marketplace payments (twice daily)
• Create Marketplace registration for events, track attendees, etc.
• Maintain all Graduate School ListServ lists
• Assist with coordinating Graduate School events, workshops and meetings
• Assist with distributing, scanning, linking Graduate School forms to appropriate departments and staff (as needed)

Minimum Qualifications:
• Associate's degree or higher
• Four (4) or more years of related professional experience
• Experience with administrative duties
• Demonstrated experience with standard software packages, including Microsoft Office
• Proficiency with standard office equipment and technology (i.e. scanner, printer, fax machine, copier, computer, phone system)
• Experience with database software, spreadsheets, and digital software
• Superior customer service skills
• Proven ability to work independently, efficiently, and accurately
• Exceptional organizational skills and attention to detail (high priority and accuracy)
• Effective oral, written, and interpersonal communication skills
• Ability to manage time, resources, and multiple tasks effectively
• Flexibility, initiative, and dependability
• Demonstrated high level of professionalism and confidentiality
• Ability to work in a team environment as well as individually

Preferred Qualifications:
• Experience in a university system
• Familiarity with our student records management platforms (PeopleSoft/Campus Connection HRMS /Finance, Perceptive Content, and/or Campus Management CRM and application system)
