We currently have an exciting opportunity available for an experienced?Administrative Manager.

Responsibilities

Position Summary
Administrative Manager is responsible for oversight, training and dispute resolution of the Milwaukee office Executive and Administrative Assistant staff and resources to ensure efficient and effective office function and coverage.
The Administrative Manager also serves as Executive Assistant to the Infinity HealthCare Senior Vice President and the Infinity HealthCare Director of Operations.
Essential Duties and Responsibilities:
  • Oversight and training of administrative office personnel and activities within the Milwaukee office.
    • Ensure appropriate work share
    • Interacting with those receiving support to ensure needs are being met
  • Direct management of the Executive Assistants and Administrative Assistants supporting the operations.
  • Executive Assistant to the Infinity HealthCare Senior Vice President and Director of Operations.
    • Extensive, frequently changing calendar management
    • Frequent complex travel scheduling
  • Attend scheduled meetings and take minutes as requested
  • Fully coordinate and manage full details of all Executive Round Table meetings as scheduled
    • Hotel, Meeting Rooms, Meals, etc.
  • Full coordination and management of all Executive Meetings in Milwaukee as scheduled
    • Hotel, Meeting rooms, Meals, etc.
  • Manage day to day functionality of the Milwaukee Executive Office to include:
    • Supply ordering
    • Conference room scheduling
    • Performing as fire Marshall
    • Assist with Concur reimbursement
    • Oversee functioning of charitable contributions
    • Managing purchases with P-card
    • Overseeing the updating and communication of resource documents throughout the office
      • Organizational charts
      • Medical and administrative leadership lists
      • Conference lines
  • Provide oversight for events or conference held in the Milwaukee market
    • Provide appropriate list of invitees
    • Invitation listing and invitations sent
    • Attend planning meetings
    • Full conference support as requested
    • Assist with the employee onboarding process
      • Assist in determining appropriate work space
      • Acquire parking spots, keys, access cards, etc.
      • Supplies, computer, cell phone, business cards, etc.
      • Coordinate with Human Resources for proper paperwork, waivers, forms, etc.
    • Assist in developing the Administrative G&A budget/equipment budget for the?Milwaukee Executive Offices
    • Special projects as the needs?arise throughout the office
    • Responsible for adhering to all company policies and procedures
    • Maintain high levels of confidentiality and professionalism at all times
    • Other duties as assigned
    • Reads and abides by the company?s code of conduct, ethics statements, employee handbook(s), policies and procedures and other corporate mandates, including participation in mandatory training programs
    • Reports any real or suspected violation of the corporate compliance program, company policies and procedures, harassment or other prohited activities in accordance with reporting policies of the company
    • Obtains clarification of policy whenever necessary and may use the resources available through Compliance, Human Resources or Legal to do so
Qualifications

  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.     • At least 7 to 10 years of experience supporting multiple C-suite executives and two years management experience
    • Ability to interact with internal and external customers with active listening and strong customer service skills
    • Proficiency in MS Office suite computer programs including Outlook, Word, Excel
    • Ability to prioritize and handle multiple tasks
    • Demonstrates the ability to perform in a complex and rapidly changing environment
    • Effective oral, written and interpersonal communication skills
    • Ability to coordinate large events
    • Ability to take proficient meeting minutes
    • Intermediate analytical reporting skills
    • Excellent interpersonal, verbal and written and communication skills
    • Ability to travel occasionally as needed
Education/Experience:
    • Bachelor's Degree from four-year college or university and 7 or more years of related experience; or equivalent combination of education and experience
Computer Skills:
To perform this job successfully, an individual should have knowledge of:
    • Intermediate personal computer skills including MS Outlook, Word, Excel
