Hiring Department:    College of Engineering & Mines, Dean’s Office (CEM Financial Services unit)

Minimum Hiring Salary/Position Classification: $40,000 plus/year, Non-Exempt, Full-time, Benefited
Benefits: Includes single or family health care coverage (premiums paid for by the university), basic life insurance, EAP, retirement plan, tuition waiver, annual and sick leave.  Optional benefits available: supplemental life, dental, vision, long-term care insurance, flexible spending account, supplemental retirement plans.
Work Schedule: Monday - Friday, 8:00 to 4:30

Position Details:

This incumbent of this position will be part of a centralize financial/payroll team serving multiple units within the UND College of Engineering & Mines and will work closely with the department chairs as well as other college financial/payroll staff to ensure all policies and procedures are being followed and completed in a timely manner.   This position will report to the Senior Assistant to the Dean and Business Manager for the College of Engineering and Mines and will have direct responsibility to several departments within the college as part of the CEM Financial Services unit.

Duties and Responsibilities

Administration of multiple engineering department payroll processes (55%)

  • Work with departments on all hiring needs of graduate students, hourly students, faculty and staff. 
  • Assist financial staff and department chairs with routine payroll processing including retroactive payroll forms, as needed.
  • Responsible for review of payroll reports each pay period in coordination with departmental staff and attend payroll meetings with chairs to keep up to date on payroll needs and how it will affect budgets.
  • Coordinate with departments and other financial staff on hourly employees hiring needs in JobX and all other hiring in Applitrack.
  • Troubleshoot issues with TLAB and associated time clocks
  • Assist supervisors with hiring and termination processes.
  • Provide training to employees on payroll process and UND policy and procedures and attend training on new systems being implemented by UND.
  • Serve as the main point of contact with HR & Payroll in coordination with college level HR staff.

Assist with HRMS Forecasting and Budgeting (15%)

  • Assist department chairs and work with financial staff of each unit on their HRMS forecasting and budgeting.
  • Assist with creating tracking systems for payroll within in each department and evaluating reports to determine if or when employees should be moved to other funding sources.
  • Provide assistance to departmental financial staff and chairs with calculating and monitoring fringe benefits for benefited employees
  • Work with financial staff to ensure adequate resources are available to cover salary needs and establish systems to proactively identify payroll or position funding issues.

Administration of Multiple Engineering Department Financial Resources (25%)

  • Provide departments with effective financial management systems.
  • Budget, disperse, track and report on all local, appropriated, workstudy and some alumni funds within the departments assigned.
  • Collaborate with the Research Administrator to address issues that reach across research funds and affect other UND funds.
  • Act as a backup to all other units.

Record Keeping/Organization/General Duties (5%)

  • Records Management Retention - retain records based on establish UND policies and procedures.
  • Participate in all team meetings, departmental meetings concerning payroll and associated financial matters
  • Participate in professional development training 
  • Perform additional duties as assigned

Minimum Requirements:

  • Associate’s Degree in areas of accounting, finance or business management OR equivalent education/experience
  • Two years of experience with payroll, bookkeeping, general office practices, and customer service
  • Experience with Microsoft Outlook, Word, and Excel
  • Successful completion of Criminal History Background Check

 Preferred Qualifications:
 

  • Experience with PS HRMS system and PS Finance
  • Experience with Perceptive Content
  • Experience working with UND policies and procedures
  • Supervisory experience
